Onboarding & Data Governance Assistant – UK
Role Overview
The Onboarding & Data Governance Team play a crucial groupwide role within AAB\'s Operational Support Services team, ensuring a seamless integration of new clients into AAB\'s ecosystem and supporting our vital regulatory compliance. This position demands meticulous attention to detail and a proactive approach to managing the onboarding process, from initial Anti‑Money Laundering (AML) and Know Your Customer (KYC) checks to monitoring and supporting requirements for ongoing client due diligence and dealing with the compliance aspects of client exits, all handled within our CRM system.
Technical support and ongoing training will be provided by the Onboarding & Data Governance Lead and the Business Protection Team in relation to client acceptance, AML and KYC checks and other relevant client compliance requirements.
Client Onboarding Workflow
- Process Management: Oversee the end‑to‑end client onboarding process, ensuring adherence to established workflows without overlooking any steps.
- Information Accuracy: Ensure all client information is accurately recorded and maintained within the CRM system.
AML and KYC Compliance
- New Clients: Conduct Anti‑Money Laundering (AML) and Know Your Customer (KYC) checks in line with regulatory policies. This includes open‑source adverse media searches, identification and verification checks using tools like SmartSearch, and ensuring completion of AML risk assessments.
- Ongoing Monitoring: Monitor changes in client ownership or control and update AML/KYC checks accordingly. Support client delivery teams in conducting ongoing due diligence.
Professional Enquiry Requests
- Prepare and issue professional enquiry requests aligned with the services provided, ensuring timely follow‑ups and responses.
Engagement Letters and Extra Service Orders
- Draft and issue engagement letters and extra service orders, including necessary appendices. Manage the signing process via the CRM and ensure documents are accurately saved in the client\'s folder within the Document Management System.
CRM Management
- Maintain up‑to‑date and accurate client data within the AAB CRM system, ensuring completeness for integration with systems like Practice Engine.
Client Disengagement
- Manage the client disengagement process, including issuing responses to professional enquiries, sending disengagement letters, and closing client accounts.
Ad Hoc Tasks
- Assist in various tasks and projects as required, demonstrating flexibility and adaptability.

- Regulatory Compliance: Stay updated with the latest AML and KYC regulations to ensure all onboarding processes meet current standards.
- Efficient Use of Technology: Leverage tools like SmartSearch for identity verification and document management system to streamline processes.
- Clear Communication: Maintain open lines of communication with clients and internal teams to facilitate a smooth onboarding experience.
- Continuous Improvement: Identify onboarding workflows to enhance efficiency and client satisfaction.
- Data Integrity: Ensure all client information is accurately captured and securely stored, maintaining data integrity across systems.

- A solid understanding of AML and KYC regulations, with the ability to apply these in a practical, business context.
- Familiar with systems and platforms typically used in a professional services environment including CRM, document management and agreement management platforms (such as CRM and SharePoint systems).
- Willingness and aptitude to develop skills and knowledge.
- Strong organisational skills, with a keen eye for detail and the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with the capability to engage effectively with a range of stakeholders including clients, potential clients, suppliers and team members at all levels.
- Strong time management skills, with the ability to work independently and take ownership of tasks.
Role Requirements
- Experience in client onboarding or a related field, preferably within a professional services environment.
- A proactive approach to problem‑solving and the ability to work independently as well as part of a team.
- An understanding of a professional services organisation is advantageous.
