The Executive Assistant to the Chief Commercial Officer and M&A team provides high-level administrative and transaction support across all phases of mergers, acquisitions, and other strategic transactions. This role is critical in enabling the M&A team to operate efficiently in a fast-paced, confidential, and deadline-driven environment. The role requires exceptional discretion, strong attention to detail, and the ability to anticipate needs during live transactions. This role will work closely with other Executive Assistants and provide coverage as required.
Key Responsibilities- Transaction & Deal Support: Provide end-to-end administrative support across active M&A transactions. Coordinate deal-related activities including diligence schedules, signing/closing timelines, and key milestones. Assist with preparation, tracking, and distribution of transaction documentation. Support confidential data room processes, including document coordination and version control (where applicable).
- Calendar & Meeting Management: Coordinate and manage calendars for stakeholders. Schedule internal and external meetings involving advisors, legal counsel, bankers, and target companies. Prepare agendas, pre-read materials, and ensure participants are fully briefed ahead of meetings.
- Meeting & Action Support: Attend meetings as required to capture decisions, action items, and next steps. Track action items and follow up to ensure timely completion. Maintain clear records of meeting outcomes and transaction-related decisions.
- Travel Coordination: Plan and manage, often short-notice travel for M&A executives. Anticipate transaction-related travel needs and ensure executives are fully prepared.
- Presentations & Transaction Materials: Create, edit, and format high-quality slide presentations and transaction materials. Ensure all materials are accurate, professional, and brand-compliant. Support preparation of Board, Investment Committee, and executive-level presentations.
- Stakeholder & Advisor Coordination: Act as a key point of contact between M&A executives and internal teams (Legal, Finance, Strategy, HR) and external advisors. Ensure smooth communication flow and coordination across deal teams. Support collaboration with other Executive Assistants to align schedules and priorities.
- Process & Workflow Management: Apply strong organisational and project management skills to manage competing priorities during live transactions. Track deadlines, deliverables, and dependencies across multiple deals. Identify opportunities to improve transaction-related administrative processes and implement efficiencies.
- Event & Transaction Logistics: Coordinate logistics for transaction-related meetings, workshops, management presentations, and due diligence sessions. Manage venues, catering, AV requirements, and on-site support as needed. Support deal-related offsites, signing events, and integration planning sessions.
- Experience: Previous experience supporting senior executives, ideally within M&A, corporate development, investment banking, private equity, legal, or professional services environments. Experience working in fast-paced, high-pressure, confidential settings.
- Skills & Capabilities: Exceptional organisational and time-management skills with the ability to manage multiple live priorities. Strong written and verbal communication skills. High attention to detail and accuracy, particularly in documentation and presentations. Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook). Strong professionalism, discretion, and judgement when handling sensitive information. Ability to work independently, anticipate needs, and problem-solve proactively. Familiarity with transaction processes, deal timelines, and executive-level governance is highly desirable.
