We are seeking a highly skilled and experienced Lead Document Controller to join our client. This role is pivotal in establishing, leading, and governing the document control and information management function. The successful candidate will ensure that all engineering, vendor, and project documentation is controlled, traceable, and compliant with client and regulatory requirements throughout the project lifecycle. This position offers a unique opportunity to work in a dynamic and fast-paced environment, collaborating with multidisciplinary teams to deliver high-quality engineering execution across multi-asset brownfield programs and subsea scopes.
Responsibilities
- Establishing and managing the document control and information management systems across the business.
- Configuring, implementing, and maintaining the Electronic Document Management System (EDMS), including folder structures, workflows, numbering systems, and access controls.
- Developing and maintaining document control procedures in alignment with client and regulatory requirements.
- Managing Master Document Registers (MDRs) and ensuring accurate tracking of engineering and vendor deliverables.
- Coordinating document issue, review, and approval cycles across multi-discipline engineering teams.
- Ensuring compliance with client information management specifications and audit requirements.
- Overseeing as-built documentation, final handover packages, and archiving processes as required.
- Monitoring document control KPIs and implementing continuous improvement initiatives.
- Interfacing with project management, engineering leads, client information management representatives, and third-party contractors.
- Supporting the mobilisation of new scopes through EDMS setup and process onboarding.
- Providing training and guidance to internal and external stakeholders on EDMS usage.
- Conducting internal audits and quality checks to ensure data integrity and procedural compliance.
- Managing vendor document control requirements and certification tracking.
- Supporting digital integration initiatives between EDMS and other project systems.
Qualifications
- Extensive experience in document control within UK oil and gas engineering projects.
- Proven expertise in implementing and administering EDMS platforms (e.g., Omega 365, Proarc, Assai, Documentum, Unifier, or equivalent).
- Strong knowledge of engineering document lifecycles, numbering systems, and as-built processes.
- Experience in developing and enforcing document control procedures and workflows.
- Demonstrated leadership of document control teams in a project or functional environment.
- Strong understanding of audit requirements, compliance, and quality management systems.
- Advanced proficiency in EDMS platforms and MS Office tools.
- Strong leadership and team coordination skills, with the ability to organise workloads and maintain performance under competing priorities.
- Excellent communication and stakeholder management skills, with the ability to engage confidently with engineers, project teams, clients, and vendors.
- High level of accuracy and attention to detail, with a disciplined approach to data integrity.
- Proactive problem-solving mindset with a focus on practical solutions.
- Strong time management and prioritisation skills in deadline-driven environments.
- Adaptability to changing project requirements and client expectations.

Education and Certifications
- Relevant qualification in Information Management, Business Administration, Engineering Support, or a related discipline (desirable).

- Internal or external training in auditing, quality assurance, or procedural compliance (advantageous).
