As an Operations Coordinator, you will play a vital role in ensuring the seamless delivery of goods to our customers by supporting key logistics and operational processes. From managing systems and documents to coordinating freight and samples, your work will help ensure cost efficiency, timeliness, and excellent service. This position supports both internal teams and external partners, ensuring that operations flow smoothly from origin to destination. It’s a varied, hands-on role where no two days are the same—and where attention to detail and a proactive approach are essential.

This role reports to the Operations Manager.

Key Responsibilities

  • Systems Management: Maintain and update project, product, purchase order, and sales order information in Sage ERP. Ensure data accuracy and timely updates to reflect any project changes.
  • Freight Management: Plan and coordinate worldwide freight in accordance with customer supplier manuals. Review freight schedules and optimise load planning for both FOB and DDP deliveries. Book freight and liaise with forwarders and customers to meet delivery deadlines.
  • Document Management: Generate and verify required shipping documents (shipping marks, commodity codes, etc.) aligned to project P&L. Track and manage documentation flow to ensure timely supplier payments and customs clearance. Filling out logistics-related forms for clients.
  • Sample Management: Coordinate the collection and delivery of international and domestic samples. Support Account Managers and the Asia team to meet CP deadlines.
  • Order & Inventory Management: Raise and process orders, manage stock transactions, and prepare freight/container plans. Book in stock for allocation and invoicing.
  • Operational Projects & Office Support: Participate in operations improvement projects and initiatives. Support facilities management (e.g., liaising with site workers, arranging repairs). Perform ad hoc office tasks (e.g., purchasing supplies, obtaining quotes).

Typical Daily Tasks

  • Request and manage shipping documents for outgoing orders.
  • Provide accurate shipping marks and documentation to support logistics.
  • Schedule deliveries with freight partners and customers.
  • Update systems (Sage) based on updates from account or supply teams.
  • Maintain trackers for freight and targets.
  • Verify incoming invoices from suppliers, customers, and logistics partners.
  • Arrange collections and deliveries for product samples.
  • Assist with miscellaneous operational and facility-related needs.
  • Raise Purchase and Sales Orders.
  • Calculating freight quotes and prepare container/pallet loading plans.

Skills and Experience

  • Essential: Strong organisational skills and a keen eye for detail. Comfortable working in a fast-paced, collaborative team environment. Eagerness to learn new IT systems and logistics processes. Proficiency with Microsoft Office, especially Excel. Proactive and adaptable mindset—ready to roll up your sleeves.
  • Desirable: Previous logistics or operations experience (not essential). Experience using ERP systems like Sage is a plus.
