PROJECT ASSISTANT AND RESIDENT LIAISON OFFICER (Façade and Restoration)

- Restoration: external mansion block repair schemes and internal common part refurbishment.
- Cladding remediation: design and build contracts replacing combustible cladding to residential high-rise buildings.
- Fire compartmentation: certified fire door installation, repair and maintenance, as well as compartmentation schemes and installation of fire detection and suppression systems.
Job purpose:
The Project Assistant and Resident Liaison Officer is the first port of contact for general queries and resident liaison. The administrative tasks within the department include all project administration maintaining legal compliance, client correspondence and project communication. You will monitor all contractual dates from Valuations, Practical Completion and defects liability periods.
Main duties:
- Answer the main work phone ensuring that our customer care and service is our priority.
- Assist your Project Manager with managing and coordinating the Delivery Team, organising surveys and booking in access with building occupants.
- Produce a weekly Quality Assurance Checklist for the Managing Director to review, highlighting any missing information or documents which should have been produced and saved into SharePoint.
- Support our Delivery Team to ensure that any missing documents are produced.
- Act as a Resident Liaison Officer for our sites building occupants, producing updates in line with the project plan, organising and attending, if required.
- Set up all project files on SharePoint at the beginning of a project and audit the files at Practical Completion ensuring that all required documents including significant emails are present and filed correctly.
- Assist the Project Manager with the execution of the delivery process, working alongside your team and encouraging them to keep on top of their obligations.
- Assist the Project Manager with collating the timesheets for submission to accounts.
- Contribute to our marketing and promotion by taking high quality photographs and engaging content for our marketing team to use.
- Dead filing project documents from our management software into SharePoint in line with GDPR requirements.
- Assist with other project related tasks from time to time.
Person Specification:
- A minimum 2 years experience in a similar role.
- Must be very strong with IT.
- Must be proficient in using Microsoft programs.
- Must have a sincere and honest approach.
- Exceptional administration skills.
- You must be an excellent communicator with focus on both your clients and colleagues to achieve clarity, openness and positivity.
- You must be a positive and helpful individual who possesses a can-do attitude. You will create a positive environment within the company towards your work, your clients, and colleagues.
- Be committed and driven to achieve above the expectations set.
