Gammies Groundcare Forfar (Part of A. M. Phillip) is recruiting for an Office Administrator. This role is initially for maternity cover for our office/sales administrator at our busy Forfar depot, supporting the administrative duties of our sales, parts and service departments, with the option to continue full-time/part-time thereafter. Working days are Monday – Friday with an alternating Saturday morning rota.
Daily areas of responsibility include:
- Reviewing incoming emails, forwarding them to the relevant departments, responding or forwarding documents to our system.
- Processing, checking, allocating and claiming whole goods bonuses.
- Processing and filing purchase & parts invoicing.
- Creating, booking in and charging out whole goods within our IBCOS system and creating whole goods tags.
- Registering sold vehicles within the DVLA RAV system as required.
- Answering incoming telephone calls and transferring to relevant departments.
Weekly areas of responsibility include:
- Monthly wages.
- Daily recording of staff work times and input into our system.
- Processing of monthly commissions.
- Filing of paperwork, including parts and whole goods delivery notes.
- Monitoring the stocking level of stationery and ordering supplies.
- Other administrative duties as required.
The Person:
- IT Literacy.
- Strong understanding of Microsoft packages.
- Excellent organisational & communication skills.
- Good problem solver with a customer‑focused attitude.
- Knowledge of IBOCS and DVLA RAV System is preferred but not required; training will be provided.
