Facilities Administrator

This is a permanent role.

Recruiting for a Facilities Administrator role.

Key Responsibilities

  • Support building inspections (weekly and monthly), ensuring safe and compliant workplace, including building fabric and equipment.
  • Maintain workplace solutions stock levels.
  • Own actions from building inspections or service requests, create action plans, and manage resolution or escalation.
  • Ensure safety and wellbeing of people working within workplaces, working with central services colleagues to deliver this.
  • Enable annual audits (Fire Risk Assessments, H&S audits) by providing site access and relevant documentation.
  • Implement recommendations, commission necessary works, and report on progress.
  • Troubleshoot, triage, and resolve calls, queries, and requests via the Workplace Solutions Helpdesk, complying with SLAs, escalating to third parties as appropriate.
  • Contribute to incident response and Business Continuity activity, minimizing impact on customers.
  • Responsible for security of the buildings (opening and closing).
  • Support procurement processes, including preparation of specifications and tender documents where required.
  • Manage facilities services contracts, acting as primary contact, understanding contract requirements, holding regular review meetings, escalating issues by exception.
  • Manage day‑to‑day contractors (cleaners, Homecare colleagues) ensuring H&S and procurement requirements are met.
  • Carry out purchasing and invoicing processes timely and accurately, complying with Financial and Procurement regulations.

Qualifications & Experience

  • Good coordination experience.
  • Strong communication skills and experience.
  • Good administration skills and experience.
  • Self‑motivated, enthusiastic, solution‑focused, positive attitude, customer‑centric.
  • Ability to meet deadlines.
  • Attention to detail.
  • Effective interpersonal skills: flexible, committed, takes ownership.
  • Proficient with Microsoft Office (Outlook, Word, Excel).
  • IOSH certification desirable but not essential.
  • Must be able to drive.
