The purpose of this role is to assist in the work of salvation and exaltation by providing individual contributor senior-level administrative support to one or more leaders and/or functional teams or work groups. Employees at this level work under minimal supervision and handle complex issues that require comprehensive working knowledge and independent non-routine decision making using initiative, originality, ingenuity, and sound judgment.
Responsibilities
- Lead lower-level employees through training, mentorship, and day-to-day direction
- Proactively anticipate future needs and make recommendations
- Assist project teams by coordinating project details and following up on pending needs to ensure deadlines are met
- Assist with budget preparation and control activities, including monitoring project or department/area budgets
- Perform research, analyze information, and make recommendations based on findings
- Compile complex data/information from various sources to prepare memos, documents, reports, spreadsheets (including charts and graphs), and presentations using a wide range of software and platforms
- Take meeting minutes and manage meeting documentation
- Use computer applications and software to schedule meetings and appointments and maintain calendars—usually for multiple leaders
- Manage email inbox(es) of assigned leaders to an agreed level
- Make travel arrangements
- Present at meetings
- Support office resiliency operations and emergency response
- Plan, organize, and execute large meetings, conferences, and other events
- Answer complex telephone and email requests
Qualifications Required
- High School Diploma or equivalent
- 4 years of administrative or related experience
- Comprehensive administrative support working knowledge
- Key skills, including the ability to:
- Communicate professionally in writing and verbally
- Utilize Microsoft Office and other software at an advanced level to:
- Schedule appointments
- Create and analyze spreadsheets
- Prepare presentations
- Take notes and meeting minutes
- Create and update Word documents
Preferred
- Bachelor’s Degree
- Broad knowledge of the organization’s structure, functions, and key personnel
