A&F Sprinklers Ltd is seeking an organised and enthusiastic Apprentice Accounts Administrator to support account coordination, customer communication, service administration and invoicing processes. You will complete a Level 3 Business Administrator Apprenticeship while gaining valuable experience within a professional fire protection business. You will support the Service Department with the administration of key customer accounts, ensuring information is accurate, customer requirements are understood and service-related activity is processed efficiently. You will work closely with internal departments, engineers, customers and suppliers to help maintain excellent service standards. The role provides exposure to customer account coordination, service scheduling, job administration, purchase orders, invoicing support, reporting and compliance documentation.
Responsibilities
- Supporting the administration of designated customer accounts
- Assisting with the coordination of planned preventative maintenance, repairs and callouts
- Monitoring key account inboxes and responding to routine enquiries professionally
- Building positive working relationships with customers, engineers and internal departments
- Supporting job creation, scheduling and service administration processes
- Assisting with the preparation of information for invoicing and ensuring records are accurate
- Monitoring outstanding jobs, purchase orders and service activity
- Updating customer portals, company systems and account records accurately
- Producing reports, service updates and account information for customers and managers
- Assisting with the management of customer requirements, service expectations and agreed KPIs
- Supporting communication between customers, engineers and internal teams to resolve issues efficiently
- Escalating service issues, risks, complaints or urgent requirements to the appropriate manager
- Supporting the wider Service Department with administrative tasks as required
- Maintaining electronic filing systems, service records and supporting documentation
- Identifying opportunities to improve processes, communication and customer service
- Following company procedures, confidentiality requirements and health and safety policies at all times
- As skills and confidence develop, taking on increasing responsibility for account administration, service coordination and invoicing support

Qualifications and Requirements
- GCSEs, or equivalent, in Maths and English are essential

- Previous office, customer service, administration or accounts experience is desirable but not essential
- A genuine interest in business administration, accounts support or service coordination, clear and confident written and verbal communication skills
- Basic IT skills, including Microsoft Word, Excel and Outlook
- Strong organisational skills and ability to prioritise workload
- Attention to detail and accurate data-entry skills
- Ability to manage deadlines and follow procedures
- Confidence communicating by telephone and email
