Key Responsibilities:
- Take ownership of coordinating commercial and project meetings, producing high-quality minutes, tracking actions and driving timely follow-up across stakeholders.
- Support the preparation and delivery of accurate, timely commercial and client reporting, ensuring data integrity and consistency across all submissions.
- Maintain robust document control across all projects, ensuring strict adherence to naming conventions, version control and audit-ready records at all times.
- Manage and continuously improve commercial systems and records (e.g. SharePoint, Elite), ensuring alignment between site, commercial and finance information.
- Lead the administration of subcontractor and supplier processes, including tender issue, compliance tracking and maintaining an up-to-date, reliable supply chain database.
- Proactively manage subcontractor documentation (insurances, certifications), ensuring full compliance and timely escalation of any gaps or risks.
- Provide structured support to procurement activities, coordinating enquiries, pricing information and supplier data to enable effective QS decision-making.
- Support core commercial processes including applications, invoice tracking, financial records and audit trails, ensuring accuracy and timely follow-up.
- Maintain and manage key commercial logs (materials, orders, project records), providing clear, reliable data to support project performance monitoring.
- Coordinate project close-out requirements, including O&M manuals, H&S files and handover documentation, ensuring completeness and quality.
- Collate and manage records relating to delays, variations and project events, supporting the commercial position through well-maintained documentation.
- Act as a central coordination point between site, commercial and finance teams, ensuring clear communication, accountability and issue resolution.
- Identify gaps, risks or delays in information and escalate proactively to support effective commercial governance and decision-making.
- Provide high-quality administrative and coordination support across the commercial function, operating with professionalism, accuracy and attention to detail at all times.
Experience & Skills:
- Experience in an administrative role within construction or a commercial environment (preferred).
- Strong organisational and document control skills.
- Experience using Microsoft Office and document management systems.
- Experience of working with commercial systems (e.g. Elite) advantageous.
- High level of attention to detail and accuracy.
- Ability to manage multiple tasks and deadlines.
