We're looking for an organised, personable & detail-driven External Sales Support Administrator to join our northern team at our Leeds base. You'll be the engine room behind our External Sales department, keeping orders moving, customers happy & paperwork spot on.
Reporting to the External Sales Manager, you'll keep the department running smoothly & accurately. Day to day, that means:
Processing & checking sales paperwork from quote through to dispatch, including raising purchase orders, generating quotes & proforma invoices & sending orders for picking.
Being a friendly, professional first point of contact on the phone & by email, handling enquiries from customers & suppliers & routing them to the right person.
Welcoming visitors to the building, signing them in, making them feel at home & letting the team know they've arrived.
Processing daily dropship orders & checking order dates are accurate for forecasting & stock allocation.
Handling requests for credits, returns, stock transfers between warehouses, new part codes & manufacturing orders.
Supporting our Accounts team with new cash & credit accounts, credit checks & sending payment links.
Managing finance jobs from enquiry to invoice, liaising between the finance provider & our sales team.
Keeping rigging certification records up to date & sending them promptly to customers.
Monitoring shared Outlook inboxes so nothing slips through the net.
Keeping our CRM system up to date & covering the New Stock Items department when needed, setting up & maintaining part codes & product information.
What we're looking for:
Previous experience in a sales support, sales administration or customer service role.
Excellent attention to detail & a methodical approach to processing orders & data.
Confident, professional telephone & email manner.
Strong organisational skills & the ability to juggle multiple inboxes & priorities.
Comfortable with Microsoft Office (particularly Outlook) & CRM or order processing systems.
A team player who takes pride in getting things right first time.
Experience in the entertainment technology, AV, events or wider distribution sector would be a bonus, but isn't essential. If you've got the right attitude & an eye for detail, we'll help you learn the rest.
