The role
If you’re an organised, customer-focused administrator who enjoys keeping things moving and making sure the details are right, we’ve got the role for you. We’re looking for a Spare Parts Administrator to join our Service department. Working closely with customers, suppliers and colleagues across the business, you’ll play a key role in coordinating spare parts orders from initial order through to despatch, ensuring orders are processed accurately, parts are available when needed and customers are kept informed throughout.
What you’ll be doing
- Process spare parts orders accurately, checking key details such as part numbers, quantities, pricing and delivery information.
- Check stock availability, raise purchase orders or internal job cards where needed, and follow up on lead times.
- Keep customers updated on order progress, expected despatch dates, delays, returns and general queries.
- Support returns and warranty administration, making sure records and paperwork are accurate and up to date.
- Work with Warehouse, Shipping, Manufacturing, Quality and Service colleagues to help ensure orders are completed and despatched smoothly.
Who we’re looking for
You’ll be a highly organised administrator with excellent attention to detail and the ability to manage multiple orders, queries and priorities in a busy environment. Accuracy is essential in this role, and you’ll take pride in making sure information is correct and records are kept up to date.
You’ll be confident communicating with customers, suppliers and colleagues across different areas of the business and comfortable taking ownership of queries through to resolution. When priorities change or an issue arises, you’ll be proactive in finding a solution while keeping those affected informed.
You’ll be comfortable using ERP systems, spreadsheets and order records, with strong written and verbal communication skills. Previous experience within spare parts, customer service, purchasing or logistics would be advantageous, although equally important is your ability to learn quickly, work accurately and provide a consistently high level of service.
Above all, you’ll be reliable, adaptable and customer focused, with a collaborative approach to working across departments. You’ll take accountability for your work and continually look for practical ways to reduce errors, strengthen processes and improve the service we provide.
