8x8 connects our customers and teams globally, empowering CX leaders with performance and insights to make smarter decisions, delight customers, and drive lasting business impact. The Technical Project Manager (TPM) is responsible for overseeing the successful planning, execution, reporting, and risk management of prioritised and cross-functional projects. These projects span multiple engineering and operational teams and may include stakeholders from outside the Engineering and Operations organizations.

The TPM must be highly organized and able to immerse themselves in different domain areas, gaining a deep understanding of project requirements, deliverables, and objectives. The TPM’s key focus is to ensure projects progress smoothly, on schedule, and within scope. They manage the day-to-day project execution, proactively identifying and resolving roadblocks through close collaboration with all stakeholders. Additionally, they ensure transparency and maintain the accuracy, reliability, and cleanliness of data in project reporting, providing regular and clear visibility to the project and management teams.

Excellent communication skills, both written and verbal, are essential for engaging effectively with the broader stakeholder community.

  • Create detailed project plans with clear timelines and milestones by collaborating with Engineering, Product, Operations, and external stakeholders.
  • Identify teams contributing to the project execution so that adequate resources can be allocated.
  • Work closely with the engineering and operations team to evaluate a T-shirt size representative (but high level) of effort required for project completion.
  • Define and document the project scope in partnership with Product Managers, Area Planners, and Directly Responsible Individuals (DRIs).
  • Ensure that the scope is clear and includes a well-defined "Definition of Done."
  • Work with the DRI and project requester to define a short and concise business case for the project thus helping prioritisation decisions.

Cross-functional Project Management: Lead the execution of cross-functional projects, ensuring alignment between multiple teams, including Engineering, Operations, Product, and external partners. Ensure that project deliverables are progressing according to the agreed-upon timelines and elevate issues when necessary to avoid delays.

Stakeholder Engagement: Act as the primary point of contact for project-related matters, ensuring all stakeholders, including non-technical teams, have a clear understanding of project progress and any roadblocks. Support the project team in day-to-day activities, providing guidance and ensuring any dependencies or blockers are addressed promptly.

Resource Allocation Coordination: Collaborate with Area Planners to align resource allocation with project deliverables. While Area Planners focus on high-level capacity and resource planning within specific areas, the TPM is responsible for driving execution at the project level and ensuring those resources are efficiently utilised. Proactively identify, manage, and mitigate project risks, working closely with stakeholders to prevent delays or issues. Engage stakeholders in discussions to resolve impediments before they affect project timelines. Elevate critical risks to higher management when necessary, ensuring there is a plan for resolution.

Project Reporting & Stakeholder Communication: Provide clear, concise, and accurate project reports to stakeholders and management. Maintain high standards of data hygiene, ensuring that all project status updates, timelines, and deliverables are well-documented and easy to track. Ensure regular feedback loops between stakeholders to track the alignment of project outputs with strategic outcomes. Ensure that resourcing and conflict information is elevated so that the strategy is adjusted when facing capacity constraints. Regularly update the Objectives and Key Results (OKRs) for the projects they are responsible for.

Managing Scope & Change Control: Guard against scope creep by maintaining a well-documented and agreed-upon project scope. If changes are necessary, work with all stakeholders to ensure proper alignment and consensus, adjusting timelines and resources as needed. Ensure that any scope changes are justified, discussed, and approved at all relevant management levels before they are incorporated into the project.

Driving Execution & Velocity: Actively drive the execution of tasks, activities, and deliverables to ensure projects maintain the highest velocity and efficiency. Encourage collaboration and cross-functional coordination to meet deadlines and achieve project goals.

Continuous Improvement of Project Frameworks: Contribute to the continuous improvement of project management practices, frameworks, and tools. Collaborate with Area Planners and Product Ops Managers to iterate and enhance governance, planning, tracking, and reporting methodologies. Share best practices with the broader organization and seek opportunities to increase efficiency across teams and projects.

Proven experience in technical project management, particularly in managing cross-functional projects. Strong understanding of project management methodologies (e.g., Agile, Scrum, Waterfall) and tools (e.g., JIRA, Trello). Exceptional organizational and multitasking skills, with the ability to handle multiple projects simultaneously. Excellent communication skills, both written and verbal, with the ability to articulate complex technical details to non-technical stakeholders. Strong risk management and problem-solving skills, with a proactive approach to identifying and mitigating issues. Ability to build strong relationships and collaborate effectively across departments and with external stakeholders.
