This role is based at Greek Street with responsibilities that include welcoming clients, guests and staff, delivering an exceptional experience, supporting screenings and events, and ensuring the front-of-house operation runs smoothly.

As the first point of contact, you will work closely with the Bookings and Producer teams to coordinate reception services across multiple Soho locations and manage front desk operations and the flow of physical media with accuracy and professionalism.

Responsibilities

  • Oversee Greek Street and Soho Square reception operations and directly manage the Soho Square Reception Coordinator.
  • Oversee the Runner team at both Greek Street and Soho Square and directly manage the Lead Runner.
  • Answer, screen and transfer all calls from a busy switchboard to relevant people or departments, while filtering sales calls.
  • Manage access control via the CCure system and handling physical keys, including issuing and returning keys and cards and maintaining stock of passes, lanyards and printing supplies.
  • Meet, greet and direct clients, contractors and visitors in accordance with security policies in a welcoming and professional manner.
  • Manage all inbound and outbound deliveries via Reception and the loading bay.
  • Maintain accurate records and follow procedures relating to security and notification of deliveries.
  • Book passenger cars and couriers, maintain accurate booking records, and ensure accurate billing information is passed on.
  • Ensure correct handover of information between front desk personnel, including Security and Runners.
  • Order and monitor the facility’s stationery requirements and carry out additional purchasing activities as requested by facility management or other departments.
  • Place orders for bar stock and liaise with runners to ensure sufficient stock at all times.
  • Update reception lists (cutting room occupants and extensions, current productions in studios, staff phone numbers).
  • Be part of the team of Fire Wardens to assist in ensuring the safety of all personnel on site.
  • Assist in the planning and execution of events, including occasional evening attendance.

Qualifications

  • Excellent communication and interpersonal skills with the ability to establish immediate rapport with a range of contacts.
  • Exceptional customer service and computer literacy, with very good working knowledge of Microsoft Office (Word, Excel and Outlook).
  • Experience managing a switchboard and security passes.
  • Good general knowledge of production, post-production or screening room facilities is desirable.
  • Experience maintaining a security access system.
  • Experience in customer hosting and event management.
  • Experience with responsibility for purchasing and stock management.

Onsite Working - This role is advertised as Onsite, meaning all working hours and days (regardless of shift pattern) will be carried out at the place of work.
