We are looking for an Executive Assistant for a 6‑month contract based in London, 2 days per week on site.
Purpose Of The Role
To enhance the performance of the Executive Committee by providing EA and administrative support to members of the Executive Committee and their senior team, and when required, provide cover and support for the other Executive Assistants.
As An Executive Assistant You Will Be Responsible For:
- Supporting with diary management: arranging travel including flights, trains, cars, hotels & restaurants; room bookings and catering.
- Supporting with the arrangement of off‑site meetings.
- Handling incoming post and following complaints procedure.
- Meeting support: drafting agendas, collating meeting packs, action points and minute taking.
- Printing, binding and uploading meeting materials using Diligent.
- Arranging payment authorisations and director signatories in accordance with delegated authority limits and company directorships.
- Answering the telephone & fielding calls.
- Submitting expense claims, ordering business cards, logging IT requests.
- Adding and maintaining contact lists.
- Maintaining the Executive Committee Gifts and Hospitality Register in line with company policy.
What We Require From The Candidate:
- Excellent verbal and written communication skills.
- Excellent administrative and IT skills with high attention to detail.
- Able to always maintain confidentiality with a high degree of discretion.
- Excellent organisation skills.
- Experience within an Executive Assistant position previously.
