Role Summary
We are seeking a Project Manager to join our growing Promo & MedComms project management team, working alongside our Head of PM and Operations Lead, to drive our Medical Communications business. As is the way with project management, you will need to be an effective planner, problem solver, strategic thinker, process optimiser and operate as the glue between departments. This is an exciting opportunity to join a new, growing PM team where you will have every opportunity to help form how project management integrates across the agency. You will work with us to enhance our current processes, integrating new workflows and resourcing tools, to meet the demands of the business and bring clarity and direction for all project‑related tasks. As a Project Manager, you will play a variety of roles, juggling both individual and multi‑faced projects from initiation to completion whilst coordinating activities with the agency client team and external vendors.
Responsibilities
- Partner with Client Services and the wider team to structure and manage integrated projects including:
- Estimating and resource planning
- Scope management
- Quality and performance standards
- Project and issues tracking and management
- Assessing and managing risk
- Request, obtain and maintain proper agency documentation to ensure that projects proceed efficiently - briefs, timelines, estimates, wireframes, UX and IA documentation
- Plan workflow, monitor deadlines and manage multiple projects and accounts at the same time to ensure tasks stay on schedule
- Monitor jobs to ensure proper sign‑off through Editorial, Creative, Client Services & Studio, in line with the agreed process
- Enforce agency policy and procedures to drive efficiency and compliance
- Maintain knowledge of client sign‑off processes, e.g., Veeva/PromoMats
- Update, maintain and issue daily status / creative trackers
- Attend client and agency status meetings as required
- Participate in the ongoing development of the project management discipline

Requirements
- Experience in Events / Booth / Symposia delivery & management
- Experience in Scientific Medical Communications in an agency setting
- Knowledge & deep interest in AI tools/agents
- Outstanding collaboration and problem‑solving skills
- Strong organisational skills & capable of adapting to changing and demanding deadlines
- Proactive and self‑motivated, with the ability to take the lead and make difficult decisions
- Understanding of the creative process across all channels and output types
- Experience with different project management methodologies
- Excellent listening and communication skills
- Analytical and quantitative skills, with the ability to analyse data and participate in the financial management of accounts with minimal supervision
- Work effectively with all departments to manage the flow of projects through the agency
- Change management experience would be beneficial
- Knowledge of workflow/project management tools
Qualifications
- 3+ years of project management experience within a creative agency
- A recognised PM qualification would be beneficial
