Job Description
- Where you’ll fit in & what our team goals are…
- Provide highly confidential executive support to the Head of Investment Trusts, ensuring effective diary management and the seamless coordination of meetings, travel, and business commitments.
- Prepare and coordinate Board meeting materials, presentations, reports, and supporting documentation for the Investment Trust Client meetings.
- Arrange travel, accommodation, itineraries, and expense management for the Head of Investment Trusts and senior members of the wider team.
- Undertake or provide backup for certain administrative tasks supporting the Investment Trust and Private Equity Accounting team, ensuring processes run efficiently and effectively.
- Organise and coordinate a range of internal and external meetings, including client meetings, Board meetings, committee meetings, and senior leadership engagements.
- Act as a key point of contact for clients, advisers, business partners, and colleagues across the UK and global offices, maintaining professional and effective relationships.
- Manage the processing and tracking of invoices, ensuring timely submission, approval, and payment in line with internal procedures.
- Maintain and regularly update the department's Business Continuity Plans (BCP) and key contact lists to ensure operational readiness.
- Support departmental projects and initiatives, providing administrative and coordination support as required.
- Ensure the highest standards of professionalism, discretion, and confidentiality when handling sensitive business information.
To be successful in this role you will have...
- Proven experience as an Executive Assistant, Personal Assistant, or Senior Team Assistant, ideally within financial services, asset management or a professional services environment.
- Exceptional organisational and time management skills, with the ability to manage multiple competing priorities, deadlines, and stakeholder requests in a fast-paced environment.
- Proactive and solutions-oriented, with the ability to anticipate needs, identify potential issues, and take initiative to ensure seamless support.
- Strong attention to detail and accuracy, particularly when handling sensitive, financial, operational, and compliance-related information.
