Office & Facilities Support:
- Assist the Facilities Manager with the daily running of the office, ensuring it remains organised, well-maintained, and conducive to a productive working environment.
- Manage office inventory, including the ordering of supplies, ensuring the office is stocked with necessary materials and equipment.
- Coordinate the maintenance and servicing of office equipment, liaising with service providers and IT support as needed.
- Oversee the organisation of office space, including meeting room scheduling and ensuring meeting rooms are well-prepared with necessary equipment and catering.
- Assist with the scheduling and coordination of office events and activities.
PA Support to the Co-Founders:
- Manage the Co-Founders' diaries, coordinating appointments, meetings, and travel arrangements (both work and personal).
- Organise and book global travel for the Co-Founders, ensuring all logistics are smooth and efficient.
- Help with the preparation of materials for meetings, including agendas, presentations, and reports.
- Help set up and run the company summer and Christmas parties.
- Manage events in the office such as client events, award events, team get-togethers.
- Assist with the supply of goods for the office for such events.
Provide administrative assistance to the production team, maintaining schedules, updating project documentation, and supporting logistical needs for production shoots. Track project timelines and ensure that all key deliverables are met. Assist with the coordination of production logistics, including booking equipment, travel, liaising with suppliers, and ensuring all required materials are in place.
General Office Management:
- Ensure the office is fully stocked with necessary supplies, handling orders and keeping track of inventory.
- Manage office communications, including phone calls, emails, and internal mail.
Requirements:
- Prior experience in an administrative or facilities support role, ideally within a creative or production environment.
- Proven experience supporting senior staff, such as founders or senior managers, with PA duties.
- Exposure to working in facilities management or supporting the daily operations of an office environment.
- Experience with office maintenance and managing suppliers or contractors is beneficial.
