Main purpose of post
To support the effective day to day administration of the Lambeth Schools Partnership (LSP). This position will work with headteachers, senior council officers and education consultants to organise meetings, events and ensure activities are monitored to completion. Using a suite of digital systems for communication, for collating performance information and reporting achievement against these activities. This will require managing digital and data information from ongoing evaluations to measure and illustrate the effectiveness and impact of the partnership on schools and pupil outcomes.
Key Accountabilities
- Co-ordinate planning, monitor activity and produce reports to LSP Board.
- Co-ordinate reporting to show the impact on key priority areas of work identified by the LSP in their business plan.
- Prepare working briefs and activity plans to monitor LSP priority areas of work and report where they are not progressing as required.
- Co-ordinate the implementation of strands of work within each LSP initiative by providing administration support including organising and noting regular meetings and monitoring actions to ensure tight and controlled governance of LSP initiatives.
- Take responsibility for day-to-day identification and resolution (or escalation) of issues and management of identified risks.
- Prepare newsletters, reports, briefings, presentations for LSP board to show progress against set activities and their impact on priority areas of focus.
Data and information management
- Support senior level officers to use data and qualitative information to identify strands of work and set direction for initiatives.
- Use data management systems to evaluate the effectiveness of LSP activity utilising other Council resources to support this.
Communication
- Use and develop a range of communication systems (websites, social media, software) to regularly promote involvement in initiatives and report on the progress of the LSPs work to all Lambeth schools, and wider community where appropriate.
- Implement clear lines of communication to provide updates and briefings on LSP work ensuring clarity for headteachers and other partners in the LSP.
- Develop relationships and collaborate with other expertise in and outside the Council to establish and continuously improve communications for all stakeholders and those with an interest in the success of LSP.
Managing events / meetings/ training
- Co-ordinate and organise a range of meetings to support LSP operations.
- Organise and run training events / seminars for school staff and LA officers.
- Co-ordinate a range of events / meetings for pupils and school staff ensuring that they are able to participate in and benefit from LSP initiatives.
Building positive Relationships
- Develop effective working relationships with the range of stakeholders and delivery partners.
- Support the monitoring of partner performance against SLAs and co-ordinate the regular communication to review delivery, impact and remedial action if necessary.
- Build positive working relationships with schools through creating and maintaining clear and responsive communication and deal with all queries efficiently and accurately.
General
- To work flexibly in undertaking the duties and responsibilities of this job, and participate as required in multi-disciplinary cross-department and cross-organisational groups and task teams.
- To take responsibility, relevant to the post, for ensuring that Council statutes and government legislation is upheld.
- To undertake other tasks within the scope of the post as required by the Director of Education & Learning.
Person Specification
- Education to A Level and or a diploma in business administration or other relevant qualification.
- Proven experience and aptitude in the use of web based / digital technology and MS office tools for business administration.
- Proven meetings and conference / event co-ordination experience.
- An understanding of the Lambeth Schools Partnership (LSP) and its role in relation to improving outcomes for pupils.
- Two years or more of administrative and project co-ordination experience in a demanding office environment.
- Experience of agenda setting, minute taking, drafting reports and presenting stimulating information to a variety of audiences in written or visual formats.
- Proven experience of building relationships to achieve objectives and improve business processes and systems.
- Excellent time and task management skills with proven experience of dealing with a variety of complex work, prioritising as required.
