Join Our Hire Fleet Asset Team! Rev up your career with 4th Dimension Innovation! We're on the hunt for an Asset & Sales Co‑ordinator (Portuguese Speaking) to join our Hire Fleet Asset Team in Egham. Reporting to the Hire Fleet Manager, you'll be the engine room behind a compliant, well‑managed and well‑protected hire fleet — handling everything from registration and sales through to de‑fleeting and the recovery of stolen assets. It's a role where attention to detail keeps bikes legal, and a bit of detective instinct keeps them in the family.
Main Duties- Register, tax and insure vehicles, completing all statutory requirements for hire bikes (V5 paperwork, taxation, SORN and warranty registration).
- Manage all fleet and retail sales — ordering, preparing, invoicing, receiving funds, delivering and transferring ownership.
- Identify and liaise with internal stakeholders on bikes being sent for sale or de‑fleeting.
- Liaise with police, tracker companies and contracted recovery agents to recover as many stolen vehicles as possible, as cost‑effectively as possible.
- Spot patterns of thieves and high‑risk areas, and manage theft markers with the relevant authorities.
- Monitor hire fleet activity, including rider behaviour.
- Oversee spare keys, documentation and security devices (trackers/sleepers) to reduce theft and improve recovery rates.
- Work with police, recovery yards, customers and referring garages to release and recover stored, stolen or withheld assets.
- Build packs for the sales and salvage teams, and support the Hire Fleet Manager with de‑fleeting (including insurance removal and notifying Accounts).
- Carry out regular fleet audits and manage maintenance (MOT, tax, insurance, servicing), keeping records accurate on the relevant systems.
- Ensure compliance with regulatory requirements including TCF principles, the DPA and HSE, handling sensitive information appropriately.
- Fluent Portuguese and English (essential — the role is Portuguese‑speaking).
- Strong administrative accuracy, with confidence handling statutory paperwork and compliance.
- Excellent stakeholder communication across internal teams, customers and external parties such as police and recovery agents.
- Sound judgement when handling sensitive and confidential information.
- A proactive, continuous‑improvement mindset around processes, cycle times and quality.
- Experience in fleet, asset or vehicle administration.
- Familiarity with vehicle registration/taxation processes (V5, SORN, etc.).
- Exposure to stolen‑asset recovery or working with tracker/security providers.
- Hours: Monday to Friday, 37.5 hours per week, within a 7:00am–5:30pm shift pattern
