About the Role
We are a fast-growing design studio specialising in branding, digital, and print for the shopping mall and residential property sectors. As we head into 2026 with an expanding client list, we need a highly organised, process-driven Production Assistant to support our Content Production Managers.
You will be the \”guardian\” of our project management system, ensuring that every brief is ingested correctly, every task is dated, and our resource planning is flawless. This is a role for someone who loves systems, data integrity, and clear communication.
Key Responsibilities
ClickUp Management:
Act as the administrator for our ClickUp workspace, ensuring all tasks follow our naming conventions and mandatory data fields (due dates, estimates, and assignees) are populated.
Brief Ingestion:
Support the Production Managers in taking client briefs (verbal or written) and converting them into actionable ClickUp tasks using our mandatory SOP checklists.
Resource Coordination:
Manage the freelance roster, checking availability in the second week of each month and assisting with resource planning in the third week.
Asset & File Management:
Ensure all Google Drive folders are organised according to our studio structure, housing resources, assets, and working files correctly.
Team Communication:
Assist in managing internal notifications and ensuring designers are clear on their \”Me Mode\” priorities for the day.
Process Documentation:
Maintain and update our production handbook, ensuring all studio SOPs are current and accessible.
Meeting Support:
Attend key production meetings, taking notes directly into ClickUp Docs and linking them to relevant tasks.
About You
ClickUp Superuser:
You have experience with ClickUp (or a similar tool like Monday/Asana) and understand how to use Workload and Gantt views.
Process-Driven:
You believe that a creative studio runs on great systems. You have a \”hawk-eye\” for missing detail.
Communicator:
You can navigate different communication channels (Slack, WhatsApp, ClickUp) to keep the team aligned.
Industry Interest:
An interest in design, property, or retail marketing is a plus.
