Job Description

Lettings Co-Ordinator (Lettings Support / Viewings / Referencing)\\n\\nHours: Monday to Friday, 9:00–17:00\\nSalary: £25,000–£27,500 DOE\\nLocation: Leicester (office-based with local property visits)\\nDriver: Own vehicle required (essential)\\n\\nThe role in a nutshell\\n\\nThis is a hands-on Lettings Co-Ordinator position where you’ll be the engine room of the lettings process, keeping everything organised, compliant, and moving at pace. You’ll be the person who makes sure applicants are qualified properly, viewings run smoothly, paperwork is spot-on, and move-ins happen without drama.\\n\\nIf you’re calm under pressure, methodical, and you like things done first-time-right, you’ll love it here.\\n\\nWhat you’ll be doing:\\n\\nYou’ll support the full lettings journey from enquiry through to move-in (and support ongoing inspections/check-outs), including:\\n\\nApplicant & enquiry management:\\n\\n * Respond promptly to the company inbox and incoming enquiries.\\n\\n * Pre-qualify applicants using the property management system (income, affordability, move date, household, pets, etc.).\\n\\n * Ensure applicants complete the correct terms of business and supply the right Right to Rent / ID documentation.\\n\\n * Keep applicant records accurate and up to date on the system.\\n\\nViewings & diary coordination:\\n\\n * Schedule, confirm, and manage viewings efficiently (including follow-ups).\\n\\n * Conduct viewings professionally and represent the properties well.\\n\\n * Maintain a tidy, accurate diary, you’ll “own” your schedule and keep things running on time.\\n\\nReferencing & compliance:\\n\\n * Manage referencing from start to finish to keep turnaround times tight.\\n\\n * Chase outstanding documents, references, and approvals with a firm-but-friendly approach.\\n\\n * Make sure each file is complete, compliant, and audit-ready before move-in.\\n\\nMove-ins, check-outs & property admin:\\n\\n * Arrange and carry out check-outs: collect keys, assess condition, complete meter readings.\\n\\n * Document condition thoroughly (photos and/or reports) and upload everything correctly to the system.\\n\\n * Produce detailed inventories using the company app.\\n\\n * Organise and carry out six-monthly inspections, record outcomes, and escalate actions where needed.\\n\\nMaintenance coordination\\n\\n * Log maintenance issues clearly and drive actions through to completion.\\n\\n * Liaise with tenants and contractors and keep communication professional.\\n\\n * Where needed, negotiate with tenants and/or support resolution of issues calmly and fairly.\\n\\nWhat you’ll need:\\n\\n * Previous lettings agency experience (essential), admin/support, coordinator, or similar.\\n\\n * Own vehicle (essential) and happy to travel locally to properties.\\n\\n * Strong organisation skills and the ability to manage multiple tasks at once.\\n\\n * Confident communication (email + phone) and a professional approach.\\n\\n * Comfortable working with property management software and mobile apps.\\n\\n * A proactive, “muck-in” mindset, you help where the day needs you.\\n\\nWhy apply?\\n\\n * Stable Monday–Friday hours.\\n\\n * Busy, varied role with plenty of autonomy.\\n\\n * Great opportunity for someone who enjoys lettings admin + property coordination and wants a role with real responsibility
