We are partnering with a leading global investment firm to appoint an Executive Assistant to support a team of investment professionals within their London office. Key Responsibilities

  • Executive & Team Support
    • Support 7–10 team members of varying levels of seniority
    • Manage complex calendars across multiple time zones
    • Coordinate meetings, interviews, and business commitments
    • Arrange domestic and international travel, including detailed itineraries and logistics
    • Process expenses and support general administrative requirements
    • Provide inbox and holiday cover for Executive Assistant colleagues when required
    • Manage phone coverage and incoming requests
  • Stakeholder & Business Support
    • Liaise with external vendors, clients, and business contacts
    • Coordinate document execution and multi‑party signature processes
    • Handle confidential documents, including legal agreements, invoices, presentations, and reports
    • Build strong relationships with internal teams and Executive Assistants globally
    • Act as a reliable point of contact across multiple stakeholders
  • Projects & Events
    • Support the coordination of internal and external events
    • Assist with investor meetings, conferences, and networking events
    • Contribute to ad hoc projects and operational initiatives

Candidate Profile

  • 5+ years' experience as an Executive Assistant
  • Experience supporting multiple stakeholders within a fast‑paced environment
  • Exceptional organisational and prioritisation skills
  • Strong attention to detail and ability to manage competing deadlines
  • Excellent communication skills, both written and verbal
  • Proactive, solutions‑oriented, and able to anticipate needs
  • High levels of professionalism, discretion, and confidentiality
  • Additional language skills would be advantageous
  • Previous experience within financial services would be beneficial
