Overview

We are partnering with a leading global investment firm to appoint an Executive Assistant to support a team of investment professionals within their London office.

This is an excellent opportunity for a highly organised and ambitious Executive Assistant looking to join a collaborative, fast-paced environment with significant scope for growth and development. The role offers exposure to senior stakeholders across the business, with opportunities to become involved in investor events, project work, and broader business initiatives.

The successful candidate will be proactive, detail-oriented, and confident managing multiple priorities while building strong relationships across the organisation.

Key Responsibilities

Executive & Team Support

  • Support 7–10 team members of varying levels of seniority
  • Manage complex calendars across multiple time zones
  • Coordinate meetings, interviews, and business commitments
  • Arrange domestic and international travel, including detailed itineraries and logistics
  • Process expenses and support general administrative requirements
  • Provide inbox and holiday cover for Executive Assistant colleagues when required
  • Manage phone coverage and incoming requests

Stakeholder & Business Support

  • Liaise with external vendors, clients, and business contacts
  • Coordinate document execution and multi‑party signature processes
  • Handle confidential documents, including legal agreements, invoices, presentations, and reports
  • Build strong relationships with internal teams and Executive Assistants globally
  • Act as a reliable point of contact across multiple stakeholders

Projects & Events

  • Support the coordination of internal and external events
  • Assist with investor meetings, conferences, and networking events
  • Contribute to ad hoc projects and operational initiatives

Candidate Profile

  • 5+ years' experience as an Executive Assistant
  • Experience supporting multiple stakeholders within a fast‑paced environment
  • Exceptional organisational and prioritisation skills
  • Strong attention to detail and ability to manage competing deadlines
  • Excellent communication skills, both written and verbal
  • Proactive, solutions‑oriented, and able to anticipate needs
  • High levels of professionalism, discretion, and confidentiality
  • Additional language skills would be advantageous
  • Previous experience within financial services would be beneficial
