Job Description - Service Coordinator/ Office Manager

Location: Warrington, England

Job Type: Full-Time. Office based with option to work from home ad-hoc

Job Overview:

We are seeking an experienced and proactive Service Coordinator / Office Manager to oversee the day-to-day operations of our office and coordinate our engineers diaries. The ideal candidate will play a pivotal role in ensuring efficient scheduling, customer satisfaction, and whole administrative support for the company.

Key Responsibilities:

Service Coordination:

  • Schedule and coordinate service jobs and maintenance visits for engineers
  • Liaise with customers to arrange appointments, provide updates, and follow-up
  • Track and manage job progress using service software
  • Maintain service records, contracts, and customer databases
  • Act as information liaison between the Director, Service Technicians, and customers – providing regular updates to customers and the 360 team, regarding service that is in progress.

Office Management:

  • Manage general office duties, including phone calls, emails, and post
  • Maintain stock levels for parts, consumables, and office supplies
  • Process purchase orders, job sheets, and engineer timesheets
  • Handle invoicing and basic finance admin in coordination with the accounts team
  • Support compliance with health & safety and company procedures

Customer Service:

  • Act as a key point of contact for customer enquiries and support
  • Ensure high standards of service delivery and timely communication
  • Assist in preparing quotes and service agreements
  • Support customers with queries or complaints, using clear communication and sound judgment to resolve issues efficiently

Requirements:

  • Proven experience in a similar role, ideally in a technical service or engineering environment
  • Strong organisational and multitasking skills in a fact paced environment
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office and scheduling/CRM software
  • Ability to work independently and as part of a small, close-knit team
  • Knowledge of air compressor systems or mechanical engineering (desirable but not essential)

Working Hours:

  • Full-time, Monday to Friday (typically 8:00 am – 4:30 pm)
