The Document Control Specialist is responsible for managing and overseeing the technical document control processes within the Asset Management department. This role ensures that all documentation is accurate, accessible, and compliant with industry and internal standards. In addition, the Document Control Specialist supports the maintenance of certifications and the updating of critical documentation, including rig drawings, technical libraries, marine compliance records, and project SPS (Special Periodic Survey) reports and certification.

Responsibilities

  • Document Control: Develop, implement, and manage a robust document control database that supports efficient document retrieval, tracking and control. Create, execute and govern technical document control procedures to include identification of document authors, owners and approvers, procedural change notifications, and notices of obsolete and uncontrolled documentation. Identify opportunities for improving document control processes and systems, driving initiatives for efficiency and effectiveness.
  • Document Management Review and Update: Review and update documentation related to rig drawings, technical libraries, and marine compliance to ensure accuracy and completeness, including changes made through the Engineering MOC process. Ensure all necessary certifications are up-to-date, including compliance documentation for rigs and projects, and individual pieces of capital equipment such as BOP’s and top drives.
  • Document Control Reporting: Conduct audits of the document control process to ensure compliance with internal policies and external regulatory requirements. Compile and maintain accurate records of document submissions, reviews, and approvals, generating regular reports for management review.
  • Department Interaction: Collaborate with project managers, technical and marine superintendents, and other stakeholders to gather, review, and manage documentation requirements for various disciplines within the Asset Management Team. Provide guidance and support to team members and other departments regarding document control standards and procedures.
  • Other: Perform other duties and/or special projects as assigned by management.

Qualifications and Experience

  • Certification in Document Control or related field is desirable.
  • Proficient in using SharePoint, MS Office Suite and PDF applications.
  • Experience in document control, preferably within the offshore drilling or maritime industry, with evidence of escalating responsibility.
  • Experience in creating and managing document control systems.
  • Working knowledge and experience with shipyard newbuild construction and/or Special Periodic Surveys (SPS) documentation deliverables is advantageous.
  • Familiarity with industry standards and regulations related to technical and marine compliance, and project documentation.
  • Advanced understanding of document management systems and database technologies.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and projects simultaneously.
  • Excellent communication and interpersonal skills, with effective collaboration within a team-oriented environment.
