We are looking for a talented Executive Assistant to provide comprehensive administrative support to an SVP for the Europe, Middle East, and Africa regions. The role involves managing complex, detailed executive calendars across multiple time zones, arranging meetings and appointments, coordinating multifaceted domestic and international travel itineraries, and handling a demanding workload with a dedicated, customer‑focused attitude.
Overview of the RoleServes as the first point of contact for escalated issues that filter into the SVP office. Supports the executive with expense reports, travel arrangements, email and calendar management, and processing invoices. Assists with tracking spending and budget management, provides and/or creates reports and presentations through data gathering and process management, and undertakes other special projects as requested.
Responsibilities- Manage complex executive calendars across multiple time zones.
- Arrange meetings and appointments, both on‑site and off‑site.
- Coordinate domestic and international travel itineraries.
- Prepare and process expense reports and invoices.
- Track spending and assist with budget management.
- Create reports and presentations through in‑depth data gathering and process management.
- Arrange group events and meetings, including planning, budgeting, and logistics.
- Take minutes during meetings when required.
- Draft complex and sensitive correspondence, including emails, letters, memos, and reports.
- Assist the executive with key communication pieces.
- Extensive administrative experience within a global organization.
- Direct experience supporting senior‑level executives in a dynamic, results‑oriented environment.
- Highest level of ethics, good judgment, and common sense due to confidentiality requirements.
- Excellent communication skills with high‑level contacts inside and outside the company.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Access, and especially Outlook).
- Strong editing and proofreading skills.
- High level of integrity, strong attention to detail, and ability to multitask.
- Ability to thrive in challenging situations while maintaining a positive, proactive attitude.
Role requires being in the Richmond (London) office three days a week: Tuesday, Wednesday, and Thursday.
