2M Legal is delighted to be working in partnership with a respected regional law firm seeking experienced Legal Secretaries to join their well-established teams across offices in Hampshire and Dorset.
The Role
These roles offer an excellent opportunity for skilled secretaries who thrive in a fast-paced legal environment. You will provide high-quality administrative and secretarial support to fee earners within departments such as Property, Private Client, Family or Litigation, ensuring the smooth running of day-to-day operations.
Key Responsibilities
- Preparing, formatting and amending legal documents and correspondence (including contracts, wills, forms, court papers and completion documents) from digital dictation and manuscript.
- Managing diaries and inboxes for fee earners, arranging client meetings, conferences, court appointments and key deadlines, and ensuring all dates are accurately recorded in case management systems.
- Opening, maintaining and closing client files (paper and electronic), ensuring records, documents and email correspondence are accurately filed and easily retrievable.
- Acting as a professional first point of contact for clients, taking telephone calls, dealing with initial enquiries, providing updates where appropriate and taking clear, accurate messages.
- Liaising with courts, counsel, estate agents and other third parties, coordinating the sending and receipt of documents and information.
- Assisting with preparing bundles, forms and statements for hearings or completions, including photocopying, scanning and compiling enclosures.
- Handling general administrative tasks such as filing, photocopying, scanning, post management and data entry on case management and document management systems.
- Assisting with basic financial administration, such as preparing bills, drafting completion statements, processing expenses and monitoring payments in line with firm procedures.
- Ensuring that all work is carried out in accordance with the firm’s policies, regulatory requirements and confidentiality obligations.
About You
- Previous experience in a legal secretarial or administrative role.
- Strong organisational skills and meticulous attention to detail.
- Excellent typing and IT skills (Microsoft Office, case management systems).
- Confident communicator with a proactive and adaptable approach.
