Our client is looking for a skilled Travel Coordinator. As a key member of the travel management team, you will play an essential role in organising and overseeing all aspects of travel for senior executives or high-profile individuals. You will ensure that every travel detail is flawlessly managed, including transportation, accommodation, dining reservations, and the creation of comprehensive itineraries, all while maintaining comfort, professionalism, and discretion. In addition, you will support the executive administrative team by managing tasks and preparing detailed schedules. This role requires a proactive, adaptable, and detail-oriented approach, with a strong emphasis on delivering exceptional service to senior professionals or clients in a dynamic, fast-paced environment. Key Responsibilities: Coordinate and arrange all aspects of travel, including flights, ground transportation, hotel bookings, restaurant reservations, and special requests. Plan and organise complex itineraries for business and personal travel, ensuring optimal time and resource management. Liaise with external service providers to secure the best options for convenience, cost-efficiency, and quality. Provide travel recommendations and options tailored to the preferences of executives or clients. Manage and coordinate detailed travel schedules, including international logistics, layovers, and time zone considerations. Organise seamless ground services and transitions between destinations, ensuring an integrated travel experience. Monitor and update itineraries in real time to accommodate changes or preferences with minimal disruption. Act as the primary point of contact for travel-related inquiries, ensuring clear and professional communication with executives or clients. Collaborate with external providers (transport companies, hotels, restaurants, etc.) to uphold high standards of service. Handle confidential information discreetly and with professionalism. Prepare detailed travel documents, including itineraries, confirmations, and schedules. Assist with last-minute changes to arrangements, maintaining flexibility and problem-solving under pressure. Track and optimise loyalty programs and memberships with service providers. Monitor and manage travel budgets, ensuring cost-effectiveness while delivering premium services. Support executive administrative staff by assisting with travel-related tasks and itinerary management. Coordinate with relevant stakeholders to ensure smooth execution of schedules and plans. Act as a point of contact for team members when additional support is required. Undertake ad hoc duties and projects as required. Experience and Skills Requirements Proven experience in a similar Travel Coordinator, Personal Assistant, or administrative role, ideally supporting senior professionals or high-profile clients. Familiarity with high-end service standards and luxury travel arrangements is advantageous. Proficiency in MS Office and travel management systems. Additional language proficiency (e.g., French, Italian, Spanish) is an advantage. Strong organisational and multitasking abilities, with the ability to prioritise effectively.
