The Project Coordinator is an integral part of our event delivery team, sitting at the heart of the Projects Team. This role is best suited to someone who thrives in a fast‑paced, delivery‑focused environment and enjoys bringing structure and clarity to complex, moving projects. You will support the planning and coordination of our events, ensuring each project has the right people, equipment and information in place at the right time. The role requires strong attention to detail, clear communication, and the ability to stay in control when plans evolve or change at short notice. Alongside planning, the role carries a strong administrative focus, ensuring accurate and timely distribution of event documentation to delivery teams.

The Project Co-ordinator role is an integral part of our event delivery team, sitting within the heart of our Project Team, and will be best suited to a candidate who loves a fast‑paced environment, and has strong organisational and communication skills. Your duties will be event pre‑planning, ensuring our events have who and what they need, and when they need it. Having excellent attention to detail is a must. In conjunction with the planning side of the role, there will also be a strong administration focus, completing and dispersal of the relevant event documentation to event delivery teams.

Core Focus
  • Ensuring that all equipment shortages in the CRM system are identified and rectified early
  • Booking and confirming resources for event delivery as required
  • Managing logistics as required
  • Client and Supplier communication
  • Sourcing specialist equipment and products
  • Managing travel & accommodation requirements
Key Responsibilities
  • Supporting the Project Director and Project Managers with day-to-day duties
  • Co‑ordinate external crew timings and communication
  • Calculate expected costs, create purchase orders and maintain costs post event
  • Manage and update event information on company CRM system
  • Book travel and accommodation
  • Providing administration support to colleagues and crew when onsite at displays/events
Logistics
  • Working closely with our Operations team, and also our Technical, Production and Display Managers to source crew, vehicles and equipment as required
  • Event pre‑planning, scheduling, logistics, client and venue correspondence
Enquiries & Administration
  • Handle customer enquiries received by email and via the phone
  • Create and issue customer contracts and invoices
  • Assist the wider team with the delivery of projects (training will be provided as required)
  • Assist the Project Director and Project Managers with Ad‑hoc administrative tasks, as and when required
Your Skills & Expertise
  • Experience within the events sector (administrating / coordinating event planning)
  • Ability to respond positively to changing project requirements, including last‑minute updates and operational changes
  • Strong prioritisation and time management skills, with the ability to manage multiple projects and conflicting deadlines simultaneously
  • Proven ability to maintain accuracy and attention to detail in a fast‑paced environment
  • Strong administration and information management skills
  • Confident communicator, able to liaise effectively with internal teams, clients and suppliers
  • Comfortable working under pressure with a proactive approach to keeping projects on track

This is a permanent, full‑time position with 21CC Group. Weekend and evening work will be required during peak season and as business needs require. A valid UK Driving license and car are required.

Salary

Project Coordinator base salary is up to £34,000 depending on experience and seniority. A Manager role may be available for the right candidate with a base salary up to £40,000. Based on a full‑time 40‑hour working week, with core daily hours 10am to 4pm Monday to Friday, plus evening and weekend work as required. Annual salary review in line with company policy. We’re open to discussing salary for exceptional candidates with the right experience.
