Overview
In this role, you provide essential project administration to support managers and project delivery. You’ll manage documentation, procurement, and coordination to keep projects on track. You will also support the Office Manager with ad-hoc duties, leveraging strong organisation in a construction/engineering context. You work closely with clients, suppliers and subcontractors to ensure accurate records and smooth project close-outs. This position offers exposure to a varied Mechanical and HVAC project portfolio in London.

Responsibilities
- Provide direct administrative support to project managers
- Maintain accurate project files and documentation
- Assist with commissioning certificates and project completion documentation
- Support compilation of Operation & Maintenance manuals
- Maintain project trackers, logs and internal records
- Carry out project close-out checks including completion paperwork and feedback
- Raise purchase orders for materials and subcontract labour
- Record and track project-related costs; assist with processing supplier invoices
- Input quotations and project information into company systems
- Act as a point of contact for general enquiries relating London projects
- Liaise with clients, suppliers and subcontractors; arrange meetings and manage diaries
- Assist with coordinating project documentation and information
Key requirements
- Previous administrative or office support experience
- Strong organisational and time management skills
- Good written and verbal communication
- Ability to manage multiple tasks and priorities
- Competent in Microsoft Office (Word, Excel, Outlook)
- Desirable: experience in construction, engineering or a project-based environment
- Desirable: understanding of purchase orders, invoicing and project documentation
