Scheduling Assistant
39 Hours per week
£12.21 per hour

The role
We deliver creative, dynamic and person-centred services providing a range of individualised support to people living in supported living properties and shared accommodation with their own tenancies. You will be supporting with our services in Hartlepool.
Reporting to the Registered Locality Manager, you will be responsible for:-
· Producing and maintaining an accurate and up to date employee and people we support rota that takes into consideration people we support commissioned care and support, ensuring all staff receive their contractual hours.
· Using the rota system to prepare weekly schedules, ensuring efficient allocation of resource whilst matching support workers to people we support. Making sure that the schedule is prepared in line assessed needs and commissioned hours.
· Responsive and effective monitoring of employee leave such as sickness absence, annual leave, maternity/paternity leave ensuring the people we support hours are covered with minimal disruption to their lives.
· Communicating rotas to people we support and staff at least 5 weeks in advance, Any changes must be communicated in advance to the people we support and staff.
· Maintain and update personal details on a database with relevant information including contact details, and staffing locations.
· Ensure changes or adjustments are communicated to people we support, staff and managers as soon as reasonably possible.
· Book, plan and coordinate employee training in line with the organisations policies and procedures, ensuring that all training is booked, allocated on the rota and systems are up to date.
· Identify areas for recruitment and assist with support worker interviews.
· Maintain and develop positive and beneficial relationships with management teams and staff across the locality.
· Liaise with the HR Department to ensure that new starters, leavers and contract changes are processed in a timely manner and entered onto internal systems.
· Ensure that timesheets are completed correctly and in line with internal systems recording annual leave, absences and any extra hours worked.
· Ensure that the weekly utilisation is reported to the Finance Department
· Ensure staff rotas have team meetings, supervisions and appraisal meetings in line with policy and procedure.
· Arrange flexible cover for colleagues in the event of holidays, sickness and emergencies.
Previous rota management and IT/Systems experience is desirable for this position, although full training will be provided.
An enhanced DBS is required for this role.
