My client, a long established law firm are seeking a Commercial Property Assistant/Legal Assistant to join their dynamic team.
Role Overview: The Legal Assistant will provide comprehensive support to the Commercial Property Department, ensuring the smooth management of legal processes and administrative tasks. This role requires strong organisational skills, attention to detail, and the ability to work both independently and collaboratively in a fast-paced environment.
Key Skills & Attributes:
- Understanding of commercial property procedures, including completion of legal forms
- Ability to manage file compliance and adhere to firm policies and procedures
- Strong multitasking and prioritisation skills in a dynamic setting
- Excellent telephone manner and client service skills
- Proficiency in Microsoft Outlook and Word, including Track Changes
- Experience with case management systems and online legal portals (e.g., Land Registry, SDLT)
- Exceptional organisational skills and keen attention to detail
- Ability to handle confidential information with discretion
- Effective communication skills to engage with clients, solicitors, and external parties
- Proactive, adaptable, and able to work under pressure with a positive attitude

Key Responsibilities:
- Support Commercial Property fee earners in managing their caseload efficiently
- Open, close, store, and retrieve files in accordance with firm procedures
- Manage case files throughout the transaction lifecycle
- Conduct audio/copy typing as required
- Maintain and update client records accurately
- Obtain title deeds, Land Registry titles, and property plans
- Prepare legal documentation and correspondence
- Request and process property searches and questionnaires
- Utilise case management systems, legal portals, and relevant software
- Ensure compliance with key deadlines and diary management
- Assist with financial management of fee earners' caseloads
- Handle incoming and outgoing correspondence, including emails, scanning, copying, and filing
- Liaise professionally with clients, estate agents, and solicitors both in person and via telephone
- Prepare completion statements and oversee transaction finalisation
- Register property titles and dispatch deeds to relevant parties
- Work collaboratively within the department to ensure efficiency and client satisfaction
- Promote the firm’s reputation and contribute to business development initiatives
- Perform additional duties as assigned by fee earners, partners, or management
