The Authorising Officer (Level 1 User) is responsible for day-to-day management of the organisation’s Sponsor Licence and ensuring full compliance with UK Visas and Immigration (UKVI) requirements. The role acts as the key contact between the organisation and the Home Office and ensures all sponsorship duties are met.
Key Responsibilities- Sponsor Licence & UKVI Compliance
- Act as the primary Level 1 user on the Sponsor Management System (SMS).
- Ensure the organisation complies with all Home Office sponsor duties.
- Maintain accurate and up-to-date records for all sponsored workers.
- Monitor visa expiry dates and ensure timely actions are taken.
- Sponsor Management System (SMS) Duties
- Assign, amend, and withdraw Certificates of Sponsorship (CoS).
- Report changes in sponsored workers’ circumstances within required timelines.
- Report organisational changes (address, structure, key personnel).
- Monitor allocation and usage of CoS.
- Record Keeping & Audits
- Maintain compliant right-to-work checks and documentation.
- Prepare for and support Home Office compliance visits.
- Ensure all required documents are stored securely and are audit-ready.
- Internal Coordination
- Work with HR, recruitment, and payroll teams to ensure compliance.
- Advise management on sponsor licence risks and compliance issues.
- Train relevant staff on sponsorship and immigration procedures.
- Authority & Decision-Making
- Authority to operate the SMS as a Level 1 User.
- Authority to assign Certificates of Sponsorship in line with business needs.
- Escalate compliance risks or breaches to senior management immediately.
- Strong knowledge of UK Skilled Worker sponsorship rules.
- High attention to detail and accuracy.
- Excellent organisational and record-keeping skills.
- Ability to handle confidential information securely.
- Strong communication skills (written and verbal).
- Experience in HR, compliance, or immigration administration (preferred).
- Familiarity with the Home Office Sponsor Management System (essential).
- Understanding of right-to-work checks and UKVI guidance.
