We are working on an exciting opportunity for a proactive, intuitive and highly capable Executive Assistant to support the CEO of a fast-growing, forward-thinking international medical company. The business is in an expansion phase, with ambitious plans to grow its presence across global markets and an increasingly busy leadership team.
This is a high-impact EA role, ideal for someone who enjoys being closely embedded with a CEO and acting as a true right hand. You will play a key role in keeping the CEO focused, informed and on track, bringing structure, clarity and follow-through to a fast-moving environment. The pace is busy and priorities shift quickly, so this role will suit someone confident managing up, anticipating needs, joining the dots and ensuring actions from meetings are followed through. There will also be scope to support the CFO, HR Manager and wider leadership team where required.
The company has a very sociable and collaborative culture, with around 20 people based in the Wembley office and a further 20-30 operating in the field. Initially, this role will be five days per week on site, Monday to Friday, 8.30 am-5 pm, with a view to moving to a more hybrid structure over time once the relationship and rhythm of the role are well established.
The business is expanding internationally and has travel planned across Dubai, Scotland, Germany and Canada over the next six months. There may be opportunities for the EA to travel alongside the leadership team if desired, making this a particularly exciting time to join the business.
The CEO brings his lovely dog into the office each day, so being dog-friendly is essential!
DUTIES INCLUDE
- Provide full EA support to the CEO, acting as a trusted gatekeeper and day-to-day partner
- Proactive diary management, ensuring priorities are clear, time is protected and meetings are purposeful
- Full inbox management, drafting correspondence and handling key communications on behalf of the CEO
- Track actions from meetings, chase follow-ups and ensure commitments are delivered
- Prepare briefing notes, agendas, presentations and board-level documentation
- Support wider leadership and C-suite stakeholders as required
- Arrange complex UK and international travel, itineraries and logistics
- Assist with preparation for exhibitions, events and international activity
- Use initiative to identify opportunities to improve processes, communication and efficiency
- Liaise confidently with internal teams and external stakeholders
- Maintain discretion and handle confidential information with care
ESSENTIAL REQUIREMENTS
- Previous experience supporting a CEO or C-suite leader
- Strong PA/EA training with excellent organisational fundamentals
- Highly intuitive, able to manage up and anticipate needs
- Comfortable working in a fast-paced, growing business
- Tech-savvy and confident juggling multiple priorities
- Excellent communication skills, written and verbal
- Charismatic, personable and able to build strong working relationships
- Happy to be office-based five days per week initially
