We are supporting a highly successful entrepreneur with a background spanning finance, motorsport, fintech and high-growth ventures, who is now building out and restructuring a dynamic UHNW single-family office as their newly appointed CEO and is seeking a strong Executive Assistant to support this next phase. This is a fantastic opportunity to join at an early stage, working closely with the CEO and reporting into an excellent Chief of Staff, as they shape a best-in-class investment and operational platform. The focus is on bringing greater structure, clarity and strategic direction to a significant and diverse global portfolio.
The CEO operates at a fast pace with a highly international lifestyle, splitting time across the UK, Europe, the Middle East, the US and more. This role would suit someone adaptable, proactive and confident working in an entrepreneurial environment where things are still being built and refined. This is a true right-hand EA role, combining traditional support with a more operational and involved remit, alongside some light personal duties and errand running. The successful candidate will play a key role in keeping things running seamlessly, from managing complex travel to ensuring the CEO’s time is used effectively across multiple locations and commitments.
Flexibility is key, as this won’t always be a traditional 9 to 5 role and may involve occasional travel and out-of-hours support across time zones. The working style will be fairly fluid and hybrid, with an expectation of some time spent in London. Longer term, once fully established, the family office is likely to be central London-based.
DUTIES TO INCLUDE
- Providing high-level EA support to the CEO, acting as a trusted and proactive right hand
- Managing complex international travel, including private aviation, commercial flights, helicopters, ground transfers and dynamic itineraries
- Anticipating schedule changes and proactively adapting travel and logistics accordingly
- Supporting the coordination of the CEO’s diary across multiple time zones and commitments
- Working closely with the Chief of Staff to bring structure, prioritisation and operational efficiency to the CEO’s time and wider ecosystem
- Assisting with the setup and ongoing organisation of the family office, including ad hoc operational support
- Supporting occasional logistics for the motorsport business (track days, events, travel coordination)
- Assisting with light personal support and errands where required
- Helping to coordinate team logistics, including potential office setup and ad hoc support to senior team members
- Acting as a problem-solver, identifying issues before they arise and implementing solutions independently
ESSENTIAL CRITERIA
- At least 5 years of EA experience supporting a HNW/UHNW individual or within a fast-paced entrepreneurial or Family Office environment
- Charismatic and personable, able to hold their own in a high-performing team
- Highly proactive, forward-thinking and solutions-led, with the ability to anticipate needs
- Confident managing complex international travel, including private aviation
- Comfortable working in a fluid, evolving environment without rigid structure
- Strong communication skills, with the ability to build rapport across all levels
- Highly organised, detail-oriented and able to manage multiple priorities
- Flexible with working hours and willing to support across time zones
- Ideally London-based, with flexibility to travel if required
- Full UK driving licence required, with confidence driving in London and occasionally supporting the CEO with transport where needed
