We have an excellent opportunity for a highly confident Executive Assistant to support the Founder and CEO of a global, high-impact philanthropy and fundraising organisation operating across multiple time zones. This is a pivotal role supporting a driven, fast-paced and inspiring individual whose work directly impacts international charities, nonprofit organisations and large-scale philanthropic initiatives.

The Founder runs a full-service philanthropy agency alongside acting as Chief Development Officer for an international charity, working across the UK, North America and other global markets. Her days are intense, schedules evolve constantly and the pace is relentless. This is not a traditional administrative role, but a true right-hand position and a critical hire to enable continued growth and impact.

This is a high-trust EA role requiring exceptional judgement, resilience and initiative. The Founder operates across 3–5 time zones and manages an extremely heavy inbox and calendar, expecting a level of anticipation and ownership that goes far beyond task execution. You will manage both professional and private matters, acting as gatekeeper, problem-solver and organiser-in-chief, staying several steps ahead and resolving issues independently.

This role suits an EA who thrives under pressure, thinks strategically and takes pride in enabling excellence. You will play a key role in protecting the Founder’s time and focus in an environment where every minute matters. It is a demanding but highly rewarding opportunity to work closely with a high-impact leader and support work that genuinely makes a difference.

The role is predominantly remote, with occasional in-person time (typically once or twice per week) in the Watford office for private and life administration tasks. Working hours are flexible, and the Founder values clear communication, transparency and trust.

DUTIES TO INCLUDE

  • Management of an extremely busy inbox and calendar, across multiple time zones
  • Acting as a true gatekeeper, prioritising what needs attention and filtering out noise
  • Preparing the Founder for meetings with concise briefings, context and clear next steps
  • Attending important meetings when required to take minutes, capture actions and follow through with stakeholders
  • Coordinating international travel across the UK, North America and beyond
  • Managing private and life administration including errands, gifting, dry cleaning, and light household-related management tasks
  • Overseeing personal logistics to ensure maximum focus on high-value work
  • Liaising with internal teams, board members, partners and external stakeholders
  • Communicating clearly and decisively, often on behalf of the Founder
  • Using tools such as Google Workspace, Slack and Microsoft Office to keep everything running smoothly
  • Proactively solving problems quickly and calmly, often under time pressure

ESSENTIAL CRITERIA

  • An experienced EA or senior PA who has supported fast-paced founders, executives or entrepreneurs
  • Exceptionally organised, decisive and calm under pressure
  • Open to candidates from a range of sectors, ideally with an understanding of marketing, communications, advertising or charity environments, beneficial but not essential
  • Resilient and comfortable in a high-expectation environment
  • Highly proactive, with the ability to anticipate needs without being asked
  • Confident in managing both professional and personal responsibilities
  • Comfortable with flexible working patterns and global time zones
  • Tech-savvy with proficiency using Google Workspace, Slack and Microsoft Office are essential
