An exciting opportunity has arisen for a polished, proactive and highly organised Front of House and Administrative Assistant to join a Private Family office and adjoined serviced offices. A warm and welcoming team based in Central London. Acting as the face of the business, you will play a key role in ensuring the smooth day-to-day running of the serviced offices, delivering exceptional front‑of‑house service to visitors, tenants and colleagues alike, as well as assist with Family Office with administration and organisation. This is a varied position combining reception, office administration and facilities coordination, alongside providing ad hoc support to the Chief of Staff and wider Executive Assistant team. The successful candidate will be personable, service‑driven and confident managing multiple priorities, with a genuine willingness to assist wherever required. Working closely with the Facilities Manager and wider team, you will help maintain a professional, efficient and welcoming office environment, building strong relationships with tenants, suppliers and visitors whilst ensuring the office operates seamlessly. This role would suit someone who takes pride in delivering an outstanding level of service, has excellent attention to detail and enjoys being at the heart of a busy office.
DUTIES TO INCLUDE
- Meeting and greeting visitors and acting as a professional first point of contact
- Assisting tenants with day‑to‑day requests and ensuring a consistently high level of service
- Working closely with the Facilities Manager to support the smooth running of the building
- Supporting with general office administration and facilities coordination
- Maintaining office supplies, including kitchen stock, refreshments and consumables
- Purchasing office supplies and coordinating deliveries
- Distributing incoming post and liaising with couriers
- Processing invoices and liaising with the finance team
- Filing receipts and maintaining accurate administrative records
- Assisting with ad‑hoc administrative projects and office tasks
- Booking restaurants, making reservations and arranging hospitality
- Organising taxis and travel arrangements as required
- Supporting with diary administration where necessary
- Assisting with meetings, team events and hospitality arrangements
- Providing overflow support to the Chief of Staff and Executive Assistant team
- Coordinating office purchases and maintaining supplier relationships
ESSENTIAL CRITERIA
- Previous experience in a Receptionist/Front of House, Office Assistant or Office Administration role
- Experience working within a professional office environment
- Exceptional organisational skills with strong attention to detail
- Professional, polished and personable presentation
- Excellent written and verbal communication skills
- Proactive, flexible and service‑oriented with a positive, can‑do attitude
- Ability to manage multiple tasks and prioritise an ever‑changing workload
- Strong customer service skills and a willingness to assist wherever required
- Confident working independently as well as collaboratively within a team
- Strong problem‑solving skills and the ability to use initiative
- Proficient in Microsoft Office, including Outlook, Word and Excel
- Comfortable liaising with senior stakeholders, visitors, suppliers and external contacts
- A proven track record of providing exceptional administrative and customer service support
