We are seeking an outstanding Executive Assistant / Private PA to support the CEO of a fast-paced, international energy trading group and UHNW family office. This is a high-trust, high-intensity role requiring exceptional emotional intelligence, strong judgement, and a natural sense of ownership.
The successful candidate will be a proactive self-starter who anticipates needs, takes initiative, and executes independently, while operating with discretion, professionalism, and composure in a demanding, performance-led environment.
The successful candidate will act as a true right-hand to the CEO, providing seamless support across business and private matters. This role requires a polished, emotionally intelligent individual who thrives in a dynamic setting, is comfortable with ambiguity, and can adapt quickly to shifting priorities. You will be expected to act as an extension of the CEO, managing complex logistics, acting as a key point of contact for stakeholders, and ensuring momentum, structure, and follow-through are maintained at all times.
The CEO travels almost constantly, so you must be confident operating independently, representing him in the London office, and maintaining standards without day-to-day oversight. This is a role for someone who enjoys being hands-on, highly accountable, and solutions-driven, with a strong execution mindset. You must be equally comfortable handling strategic matters and core PA responsibilities, and be willing to take full ownership of a broad and demanding remit. Absolute discretion, integrity, and professionalism are essential.
The role is based in London and is five days per week in the office, non-negotiable, as the CEO requires a strong on-site presence as his representative. Although he travels frequently, this is a London-based role with no regular travel required. Core hours are 9:00am–6:00pm, with flexibility required due to international time zones and workload. The package includes a competitive base salary, discretionary bonus, private medical insurance, employer pension contribution, and long-term progression within a dynamic international business.
DUTIES TO INCLUDE:
- Acting as the trusted right-hand to the CEO, with ownership of execution across business and private matters
- Complex diary and logistics management across multiple international time zones
- Managing all communication flow, correspondence, follow-ups, and stakeholder liaison
- Acting as the CEO’s representative and “boots on the ground” in London when he is travelling
- Supporting business administration, documentation, and priority tracking
- Maintaining structured Excel trackers, logs, and reporting tools to ensure clarity and follow-through
- Taking full ownership of household and lifestyle-related matters, acting as the primary point of contact
- Negotiating, managing, and overseeing contracts with third-party household and lifestyle service providers
- Setting expectations, agreeing on terms, monitoring performance, and resolving issues independently
- Proactively reviewing costs, identifying inefficiencies, and renegotiating where appropriate
- Managing private projects and ad-hoc requests with a structured, solutions-driven approach
- Handling sensitive personal and financial matters with absolute discretion
- Building strong relationships with internal teams, advisors, banks, and external counterparties
- Acting as a calm, professional, and emotionally intelligent gatekeeper
- Filtering noise, protecting the CEO’s time, and managing competing demands with authority and diplomacy
- Adapting seamlessly to UHNW stakeholders and differing personalities
ESSENTIAL CRITERIA:
- Proven EA/PA experience within a UHNW family office or high-performance founder-led environment
- Clear evidence of stability and longevity in roles (ideally 3+ years per position)
- Strong understanding of the blend between business execution and private support
- Demonstrable experience supporting a high-profile CEO or senior leader
- Exceptionally high emotional intelligence, intuitive, resilient, and perceptive
- Strong self-starter mentality, proactive, decisive, and comfortable working independently
- Highly organised, detail-driven, and confident in managing complexity
- Technically confident, with strong Excel skills (tracking, analysis, structured reporting) and comfort working with systems, data, and documentation
- Commercially minded and comfortable negotiating, challenging, and managing third-party providers
- Confident gatekeeper, ability to filter noise and protect the CEO’s focus
- Discreet, loyal, and trusted, confidentiality is non-negotiable
- Comfortable working in a fast-paced, high-trust environment
- Willing and able to work fully office-based, five days per week (non-negotiable)
- Strong references from previous principals in hand
- Right to work in the UK
