A privately owned luxury property management company is seeking an exceptionally capable, intelligent and highly organised Property Administrator/Manager to join their small and close-knit team in London. The business owns and manages a diverse portfolio of high-end commercial and residential properties, so this is an opportunity for someone who has a genuine interest in property and wants to develop a thorough understanding of the industry.

This is a varied role that goes well beyond traditional administration. The successful candidate will be involved across many aspects of the property portfolio, working with tenants, contractors, managing agents, surveyors, solicitors and other professional advisers. You will need to be someone who is naturally curious, commercially aware and comfortable taking ownership of a matter from the moment an issue arises through to finding and implementing a practical solution.

The ideal candidate will be exceptionally well-presented, switched-on and proactive, with excellent attention to detail and a strong ability to organise and prioritise. You should enjoy understanding how things work, be confident researching unfamiliar issues and have the initiative to pick up the phone, make enquiries and find answers rather than waiting to be instructed. Previous property experience would be advantageous, but the right attitude, intelligence and genuine enthusiasm for property are equally important.

Usual office hours are 08:30-17:30 Monday to Friday, with flexibility to respond to matters outside of hours. This is an on-site role from their beautifully designed Marylebone office, and an excellent opportunity for someone looking to establish themselves within a successful privately owned property business and develop significant knowledge across residential and commercial property.

DUTIES TO INCLUDE BUT NOT LIMITED TO:

  • Assist with the day-to-day management and administration of the company's residential and commercial property portfolio Liaise professionally with tenants, managing agents, contractors, surveyors, solicitors, suppliers and other external advisers
  • Monitor repairs, maintenance and building issues from initial instruction through to completion, ensuring matters are followed up and resolved efficiently
  • Obtain and compare quotations, liaise with contractors and help ensure works are completed to the required standard and represent good value for money
  • Maintain accurate property, tenancy, financial and compliance records, including monitoring rents, invoices, payments, certificates, inspections and key deadlines
  • Assist with tenancy documentation, renewals, correspondence, reports, spreadsheets, property research and other administrative requirements across the business

ESSENTIAL REQUIREMENTS:

  • Previous experience within property, property administration, estate agency, property management or a related environment would be advantageous, although strong candidates from other backgrounds will be considered
  • Highly intelligent, organised and detail-oriented, with the ability to understand information quickly and apply sound judgement
  • Genuine interest in property and a good sense of humour
  • Excellent communication skills, both written and verbal, with the confidence to deal professionally with tenants, contractors and senior professional advisers
  • Proactive and resourceful, with a natural ability to take ownership, investigate problems and find practical solutions without constant direction
  • Discreet, trustworthy and impeccably presented
  • Strong work ethic, high level of integrity and the ability to work independently within a small team
  • Right to live and work in the UK
