We have a fantastic opportunity for a proactive and highly capable Executive Assistant to become the trusted right hand to the Managing Director of an exciting, fast-growing business operating at the forefront of technology, innovation and logistics.

This is an EA role first, so excellent diary, travel, inbox and meeting management will be fundamental. The Managing Director strongly believes his EA should be a true extension of him, someone who understands what is happening across the business, anticipates what he needs and helps ensure both he and the wider team operate as effectively as possible.
Alongside the EA remit, you will take ownership of the day-to-day running of the London office and support a variety of business operations, events and projects. This could include managing suppliers and office contracts, organising team away-days and external events, helping coordinate an upcoming office move or simply spotting something that needs doing and getting it sorted.
The business is young, ambitious and growing quickly, so not every process exists yet. The successful candidate will need to be naturally proactive, positive and solutions-focused, with the confidence to introduce structure where needed and the flexibility to turn their hand to whatever comes up. This is definitely not a traditional corporate environment, and there is real scope for the position to grow as the business develops.
The role is hybrid, typically based three days per week from the Farringdon office, with occasional additional office days around Board meetings, events or key business activity. Although structured on a 9-5 working day the hours can be very flexible and a lot of autonomy over your own time is given.
DUTIES TO INCLUDE
- Acting as a trusted right hand and extension of the Managing Director, understanding his priorities, working style and wider objectives
- Taking ownership of a busy diary, inbox, meetings and travel, ensuring his time is effectively prioritised and protected
- Acting as an intelligent gatekeeper and key point of contact for internal and external stakeholders
- Preparing Board and leadership meeting materials, including agendas, packs and pre-reads
- Attending key meetings, taking accurate notes and ensuring actions and commitments are followed through
- Managing complex domestic and international travel, itineraries, accommodation and last-minute changes
- Helping maintain the wider team's meeting cadence, calendars and general operating rhythm
- Managing expenses, ad hoc payments and supporting basic HR administration and approvals
- Taking ownership of the day-to-day running of the London office, including facilities, supplies, visitors and general requirements
- Managing key office suppliers and contracts, including cleaning, catering, kitchen supplies and other services
- Supporting an upcoming office move, including suppliers, fit-out, design decisions and relocation logistics
- Organising team events, away-days and external industry events from start to finish
- Supporting wider projects and initiatives across the business as required
- Introducing simple, effective processes and using technology and AI to improve efficiency
- Proactively identifying what needs to be done, picking up loose ends and ensuring nothing falls through the cracks
ESSENTIAL CRITERIA
- Several years' experience as an Executive Assistant or PA supporting a Managing Director, CEO, Founder or similarly senior executive
- Excellent core EA skills, particularly diary, inbox, travel and meeting management
- Experience preparing Board or leadership materials and producing clear meeting notes and actions
- Comfortable combining senior EA support with office management, business operations and project responsibilities
- Naturally proactive and forward-thinking, with the ability to anticipate needs rather than wait to be asked
- Exceptionally organised with strong attention to detail and the ability to confidently juggle competing priorities
- Positive, energetic and solutions-focused with a genuine "nothing is too much trouble" attitude
- Comfortable within a fast-paced, entrepreneurial or start-up-style environment where priorities can change quickly
- Happy to take ownership of both high-level responsibilities and the more hands-on tasks that keep an office and team running smoothly
- Polished and professional, with the confidence to represent the Managing Director with senior internal and external stakeholders
- Friendly, approachable and able to build strong relationships across a growing business
- Strong judgement, emotional intelligence and complete discretion when handling confidential information
- Tech-savvy and curious about how AI, automation and new systems can improve ways of working
- Experience organising events, office moves or wider business projects would be advantageous
- Experience within a fast-growing, PE-backed, technology, logistics or e-commerce environment would be advantageous but is not essential
- Comfortable working three days per week from the Farringdon office, with occasional additional days when required
