JOB OVERVIEW: The Sales & Events Coordinator is responsible for overseeing all incoming guest enquiries across private dining, general reservations, and group bookings. The role acts as a bridge between guest communication and internal operations, ensuring every enquiry is met with warmth, efficiency, and polish. This person will work closely with the Reception & Reservations manager and all other departments to ensure the guest journey is seamless and aligned with Lilibet’s refined standards. A strong understanding of SevenRooms, guest data, pacing and sales conversion is essential.
KEY RESPONSIBILITIES:
- Reservations
- Manage daily reservations via phone, email, and SevenRooms, responding promptly and elegantly.
- Oversee reservation pacing, availability and table allocation across services.
- Tag and flag notable guests, VIPs, and key partners for operational visibility.
- Support with floor plans, pre-service notes and ensure accurate handover to the reception team.
- Manage phone lines, inboxes and booking links with attention to tone and clarity.
- Confirmation calls and profiling guests.
- Respond to all event enquiries (PDR, partial or full buyout) in line with brand voice.
- Issue proposals, booking agreements, deposit links and follow-ups to drive conversions.
- Coordinate with guests for menu choices, dietary requirements and logistical requests.
- Maintain an accurate event calendar, function sheets and internal planning documentation.
- Host show-rounds with professionalism and product knowledge.
- Log all enquiries in our tracker and maintain up-to-date records in SevenRooms.
- Manage deposit and minimum spend tracking for events and large bookings.
