Overview
We are looking for a highly organised and proactive Production Coordinator to support the planning, delivery, and administration of content productions across our client portfolio. This is an ideal role for someone with strong organisational skills who enjoys keeping projects moving, managing logistics, coordinating teams, and ensuring content is delivered efficiently. You will work closely with producers, creatives, editors, social media managers, and clients to help oversee projects from briefing through to final delivery. While primarily office-based, the role may include occasional travel and shoot attendance to support productions on location.
Key Responsibilities
- Production Coordination: Support producers and project leads with the planning and delivery of content productions. Assist with schedules, call sheets, travel arrangements, accommodation, accreditation, and shoot logistics. Coordinate internal teams and freelancers to ensure projects run smoothly. Track project timelines and ensure deadlines are met.
- Project Administration: Maintain production documents, schedules, contact lists, and project trackers. Support budget tracking, purchase orders, supplier management, and production paperwork. Ensure project information is organised, up to date, and easily accessible. Manage project management platforms/sheets such as ClickUp, Google Sheets and similar.
- Asset & File Management: Oversee footage management, file transfers, backups, project organisation, and archiving. Maintain consistent folder structures and naming conventions across productions. Support editors and content teams by ensuring assets are correctly organised and available when needed. Help manage cloud storage platforms and production databases.
- Post-Production Support: Coordinate edit schedules and delivery timelines. Assist with version tracking, client feedback rounds, approvals, and final asset delivery. Ensure content is delivered in the correct formats and stored appropriately.
- Shoot Support: Attend selected shoots and race weekends when required. Support producers and crews on location with logistics, scheduling, and general production assistance. Help ensure smooth communication between clients, crews, and internal teams.
- Team & Client Communication: Act as a central point of coordination between departments. Communicate project updates clearly and proactively. Anticipate potential challenges and proactively identify solutions. Support client-facing teams by helping ensure projects stay on track.
Requirements
- 1–3 years of experience in a Production Coordinator, Production Assistant, Junior Producer, or similar role.
- Experience working within content production, creative agencies, sports, events media, or digital content environments.
- Strong organisational and administrative skills.
- Excellent attention to detail.
- Comfortable managing multiple projects simultaneously.
- Strong communication skills and confidence working across different teams.
- Experience using Google Workspace, project management tools, and cloud storage systems.
- Understanding of content production workflows and post-production processes.
- Basic knowledge of video production, editing workflows, and file management practices and Adobe.
- Interest in sport, motorsport, Formula 1, or social media content production is highly desirable.
- Willingness to occasionally travel and support productions on location.
