Join the founding team at 16 Charles Street, a new private members club opening in 2026. More than a club, Les Amis is a way of life – an invitation into an international circle of kindred spirits who share a love for the Loulou lifestyle.

This is an opportunity to play a strategic role in the launch of a landmark Mayfair destination — from pre-opening preparations to ongoing operations. In the pre-opening phase, you will work with the Club Director and Head of Project to define CRM features, shaping the CRM development roadmap, and ensure that the implementation follows the agreed plan, timeline, and budget. You will also lead on CRM system implementation and integrations, ensuring all systems work seamlessly together ahead of launch. Post-opening, you will take ownership of the CRM system, members portal, and related digital tools, supporting the Membership team in providing a smooth and personalised experience for all members.

Missions:

  • CRM Development & Implementation: Act as the main point of contact between the internal 16CS team (Club Director & Head of Project) and the CRM development team. Oversee the build and implementation of the CRM system — ensuring features, structure, and design meet operational needs. Work with the Club Director and Head of Project to define features to develop and agree on the roadmap. Take over and execute the roadmap once defined, ensuring it is delivered according to plan. Conduct regular checks, testing, and quality control on CRM functionality. Gather and communicate feedback from internal stakeholders. Coordinate requirements for Phase I (membership acquisition) and Phase II (members portal). Ensure timelines are respected and development is completed properly within the defined budget.
  • Systems Integration: Supervise all integrations between the CRM and connected systems, liaising with each system's technical teams. Oversee integrations across: Accounting (UK & France): Sage 100, Xero; Email and WhatsApp communications (Outlook & Mailchimp); Payment providers: Adyen; POS & inventory systems: Oracle/Micros/Symphony; Reservation and private hire systems: SevenRooms; Website & membership application forms: Hotspot. Strong involvement with SevenRooms integrations and authority to clean, structure, and maintain the integrity of the SevenRooms database.
  • Members Portal: Collaborate with the creative and development teams to deliver a seamless, visually refined, and user-friendly Members Portal. Oversee design and user experience (UX) elements. Perform extensive testing to ensure flawless functionality.
  • CRM Database Management – Pre-opening & Launch: Manage all data within the CRM system, ensuring accuracy and confidentiality. Work closely with the membership sales team to track member information, application progress, and follow-ups. Prepare and monitor application forms, link the CRM to the existing database, and ensure smooth distribution to applicants. Play a key role in supporting the successful launch of the founding phase, ensuring all systems and processes run seamlessly. Generate reminders, reports, and follow-up lists for the Club Director and sales team.
  • Post-opening Operations: Maintain and continuously optimise the CRM system and Members Portal. Ensure smooth data flow across all systems and departments. Support membership communications and engagement through CRM-driven campaigns.
  • Additional Support: Assist with document collection and communications for founding members and patrons. Knowledge of email design and creation of simple graphic elements is a strong plus. Experience with website building or updates, particularly those linked to CRM systems, is also a plus.

Required Skills:

  • Strong knowledge of SevenRooms or similar system, with the ability to confidently structure, audit, and clean data within the system.
  • Strong technical and IT understanding, particularly around integrations and data management.
  • Interest in CRM technology, data-driven marketing, and member experience.

Soft Skills:

  • Organised, detail-oriented, and able to manage multiple workflows.
  • Proactive, resourceful, and comfortable working autonomously.
  • Collaborative and personable — enjoys being part of a small, entrepreneurial team.
  • Strong communication skills - Confident in liaising with both internal teams and external developers.

Education & Experience:

  • 4+ years of experience working with CRM systems such as Salesforce, HubSpot, or similar platforms.
  • Experience building CRM systems (Candidates must have previously developed CRM solutions either as part of CRM editors or by building CRM systems for clients). Experience in luxury hospitality, private members clubs, or high-end brands is a plus.
