Position Summary
Deliver professional front‑of‑office reception services to employees and guests and provide administrative support to the Executive Assistant team. The role is based in the London office, five days per week, with core working hours 8:45am – 16:45pm.
Key Responsibilities
- Greet and welcome guests at the London office, ensuring a friendly and speedy hand‑off to EA’s or colleagues.
- Answer or receive calls at the reception desk, effectively transitioning callers to appropriate contacts.
- Liaise as the point of contact for London building office entry and resolve guest or employee entry issues quickly.
- Maintain the presentation of the reception area and meeting rooms, escalating concerns to facilities or IT as required.
- Daily check of meeting room and IT equipment functionality; resolve or forward issues to IT.
- Maintain a general issues log related to reception and meeting rooms, channeling to appropriate areas and providing weekly reporting to Lead EA.
- Manage the reception desk email inbox, resolving or channeling issues.
- Manage the meeting room diary and resolve scheduling conflicts.
- Collate meeting room requirements and ensure they are met.
- Support Executive Assistants with administrative duties, diary and expense management as required.
- Carry out additional duties as assigned.
- Escalate ongoing concerns to Lead EA or Head of HR.

- Excellent computer skills in Microsoft Office Suite (Word, Excel, Outlook).
- Good interpersonal and communication skills.
- Excellent attention to detail and organisational skills.
- Multitasking and time‑management skills, with the ability to prioritise tasks.
- Collaborative and proactive approach.
- Appropriate knowledge of all relevant regulatory and legal requirements applicable to the position.
