Who are we looking for?
We’re looking for a highly organised Proposal Coordinator to lead the production of bespoke, professionally written bid responses for our Enterprise and Public Sector customers. You’ll play a key role in articulating Gamma’s value proposition — both financially and from a customer experience perspective. This role requires strong project management skills to coordinate bid activity across multiple stakeholders, manage timelines, and ensure clear communication throughout the bid lifecycle. You’ll lead kick‑off and review meetings, storyboard sessions, and final submission reviews, working closely with Sales to embed the win strategy into every response. Governance compliance and risk tracking are also key responsibilities, alongside maintaining control of deliverables in a fast‑paced, matrix‑managed environment. Exceptional attention to detail and the ability to juggle conflicting deadlines are essential.
What will you be doing day-to-day?
- Leading the creation of compliant, professionally written proposals that reflect Gamma’s value proposition and align with customer values and bid scoring criteria.
- Managing multiple bids at once, ensuring deadlines are met and submissions maintain a high standard of quality and consistency.
- Facilitating strategic storytelling through kick‑off meetings, storyboard sessions, and close collaboration with Sales to embed win strategies and competitive positioning.
- Applying customer research and value mapping techniques to tailor responses that resonate with customer priorities.
- Enhancing proposal content using AI-generated material, including prompt engineering and validation techniques.
- Integrating Sales AI insights to align proposal strategy and messaging with customer needs and business objectives.
- Facilitating SWOT analysis to assess internal capabilities and position Gamma effectively against competitors.
- Ensuring governance compliance and proactively identifying and escalating business risks, tracking them through to resolution.
- Coordinating post‑bid reviews to capture feedback, analyse outcomes, and contribute to continuous improvement.
- Maintaining high standards of formatting, branding, and document quality across all submissions.
- Supporting the use of our proposal management system and helping train others in its functionality.
- Building strong working relationships across Sales, Pre‑sales, Commercials, Projects, and external contributors to ensure seamless bid delivery.
What you’ll need:
- Strong project management skills with the ability to plan, coordinate and drive bid activity across multiple stakeholders.
- Excellent attention to detail skills.
- Confident communicator.
- Highly organised with the ability to manage multiple tasks simultaneously.
- Comfortable working with AI-generated content and Sales AI inputs.
- Analytical mindset with experience in applying SWOT analysis and customer research to strengthen proposal positioning.
- A proactive approach to governance and risk management, with the ability to identify and elevate issues appropriately.
- A collaborative team player who thrives in a matrix‑managed environment and contributes to continuous improvement through post‑bid reviews.
What do we offer you?
- 25 days of annual leave, plus an extra day off for your birthday.
- A volunteer day to support a charity that matters to you.
- Enhanced maternity and paternity pay and childcare vouchers.
- Pension plan with contributions of 4.59% from Gamma.
- Group income protection and life assurance (four times your salary).
- Tax‑efficient share save and share incentive plans.
- Private medical insurance through Vitality, which extends to your immediate family.
- Electric Vehicle scheme through Octopus and a Cycle to Work scheme.
