PA to Director of Innovation and Technology Formula 1 covers a huge range of disciplines across a wide array of industry sectors, drawing the very best from our teams of technicians, engineers and media rights specialists and encouraging the creativity of experts in the fields of digital and traditional media, marketing and communications. We are recruiting for a Personal Assistant for our Director of Innovation and Technology who would be based at our Biggin Hill office. Do you have what it takes to be part of the world’s greatest sport and entertainment spectacle? Main Duties & Responsibilities: * Provide high level executive business and administrative support to the Director, cascading across all day-to-day duties * Cultivate and strengthen relationships with stakeholders (internal/ external), using expert levels of communication * Strategic multi-tasking and impeccable organisation skills * Managing projects, create and maintain status tracking reports, ensuring all deadlines are met and follow-up with contributors (internal/ external) as required * Preparation of PowerPoint presentations, word documents and agendas with high attention to detail * Perform meeting research, planning, and preparation, including minute taking and distribution * Organise and ensure the Director is well prepared for meetings, always looking ahead * Meticulous diary management working across several different time zones * Screen enquiries and requests and responding within a timely manner * Maintain the highest standards with regard to respect, integrity and ironclad confidentiality and discretion * Administer, coordinate, and submit monthly expense claim forms and credit card paperwork * Coordinate travel arrangements with the Travel department; to include visa applications and checking itineraries * Support with the department budget preparation * Ability to solve simple IT issues and contact the IT department where necessary. * Ability to respond out of hours on occasion when the Director is travelling Specification Essentials: * Minimum of 5 years’ experience supporting a Director or C suite individual * Exposure to high profile business individuals * Experience in senior stakeholder management * Experience of working within a dynamic and ever-changing environment * Experience working for a high-profile company * Knowledge of Formula One * Excellent written and oral English language skills * Strong level of accuracy and attention to detail * Advanced MS Office skills * Ability to effectively interact and communicate with a wide range of people and personalities, (internal and external) * Ability to work under time constraints and pressure with constant change in priorities all the while remaining calm * Ability to work unsupervised and to efficiently manage and prioritise your own workload whilst maintaining deadlines * Minute taking Division: Technical PA to Director of Innovation and Technology
