About this role
We are looking for an organised and motivated individual to join our busy and lively auction team, liaising with sellers, buyers and solicitors on a daily basis. You will be a main port of call for answering phones, keeping on top of leads/email enquiries and be responsible for a variety of admin tasks within the department to include carrying out identification/anti-money laundering checks.
Tasks to include but not limited to:-
– Prepare Terms & Conditions
– Prepare property particulars and uploading to our website and property portals
– Responsible for carrying out identification/anti-money laundering checks to include company checks and risk assessments on all sellers and buyers
– Checking and approving remote bidding applications
– Chase up outstanding information such as listing fees, terms, EPC’s, ID and keys
– Answering a high volume of telephone calls per day in a professional and polite manner
– Answering our intercom system and greeting customers at the door
– Responding to email enquiries and leads
– Managing diaries
– Organising and booking appointments, meetings and viewings
– Helping to edit virtual tours
– Order sale boards (liaising directly with the board company where required)
– Data Inputting – to be done accurately and efficiently
– Filing and Scanning
– Audio typing
– Attend auction events throughout the year – which may include additional hours on auction days, auction weeks and deadline weeks
– All other administrative tasks as and when required
Our ideal candidate
Our ideal candidate will be enthusiastic, hardworking, confident and want to become part of our busy, energetic and deadline driven department. The successful applicant must be able to work well as part of a team, be able to multitask and prioritise work whilst offering a friendly and professional service to our clients, as well as:
– Ideally, at least 1 year’s experience within an estate agents/solicitors firm or a graduate in a similar field.
– GCSE’s or equivalent in English and Maths
– Good knowledge of Microsoft packages, databases and phone systems
– Be able to communicate professionally in writing, by telephone and in person
– Organise your workload efficiently
– Work well under pressure
– Be able to work as part of a team as well as on your own
Location & Commitments
– Our office is located in Birmingham city centre
– You will be required to work Monday-Friday 9am-5pm (with 1 hour for lunch)
– On auction days, deadlines and auction weeks you may be required to work overtime without additional pay
