Job Description
We are looking for a highly organised and proactive Brand Assets and Procurement Coordinator to oversee our physical asset across the UK and US. This includes everything from store fixtures and fittings to unique art pieces and display elements used in retail, pop-ups, showrooms, events, and office spaces.
This role is pivotal in ensuring that all assets are accurately tracked, efficiently allocated, and seamlessly moved between locations to support our growing brand environments.
While the primary focus is on inventory control and logistics, the role also includes sourcing new items where suppliers are not already established, acting as the main point of contact for storage and deliveries, and supporting event and pop-up logistics, and working closely with our Studio Sample Manager to improve sample inventory processes.
Responsibilities:
Inventory & Asset Management
- Maintain a centralised, up-to-date digital inventory of non-stock items such as furniture, fixtures, display assets (e.g., furniture, hangers, props), and art pieces across UK and US locations.
- Track the real-time location, usage, condition, and availability of all assets.
- Coordinate the reuse and return of items, particularly for temporary locations and short-term brand activations.
- Monitor inventory levels and flag when assets need to be replenished, refurbished, or replaced.
- Ensure all inventory data is accurate, consistent, and accessible to relevant stakeholders.
Systems & Reporting
- Take a leading role in the implementation of a new digital inventory management platform, and assume full ownership of its day-to-day management once operational.
- Support with the integration of a similar technical solution to streamline sample tracking, on hand inventory and reporting.
- Regularly audit inventory for accuracy and completeness.
- Generate reports to support planning for store openings, office projects, and brand space rollouts.
Logistics & Coordination
- Oversee the movement of assets between warehouses, studios, and project sites in the UK and US.
- Arrange shipments by coordinating with our internal merchandising team, including customs documentation for international transfers where required.
- Serve as the primary point of contact for all storage and delivery matters, working directly with warehouse teams and logistics providers.
- Coordinate closely with internal teams and third parties to ensure accurate and timely asset movements.
Supplier Liaison & Sourcing Support
- Maintain relationships with existing vendors and service providers.
- Liaise with suppliers to follow up on deliveries and communicate any issues or delays.
- Where a supplier is not in place, assist in sourcing and onboarding new vendors, ensuring quality and timelines align with project needs?
Events & Pop-Up Support
- Assist with logistics planning and asset coordination for events and pop-ups where relevant, including delivery and return schedules.
- Track the use and duration of items at temporary locations and ensure efficient turnaround between activations.
Stakeholder Collaboration
- Work cross-functionally with retail operations, brand experience, wholesale and other key stakeholders to align asset usage with project timelines.
- Keep all teams informed of inventory status, item availability, and expected delivery schedules.
Qualifications
- Proven experience in inventory management, logistics, or operations (3 + years preferred).
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office, particularly Excel.
- Experience with inventory management software or digital tracking tools (e.g., Itemit, Sortly, NetSuite).
- Experience with international shipping and customs processes is a plus.
