About the Role

We are recruiting on behalf of our client for a proactive and experienced Facilities Scheduler to join their team in the Whitechapel area of London. The successful candidate will be responsible for coordinating Planned Preventive Maintenance (PPM) activities, allocating work to the appropriate teams, and ensuring smooth operational delivery.

Key Responsibilities

  • PPM Scheduling: Plan and schedule routine PPMs and allocate them to engineers and package managers.

  • Task Coordination: Use the internal portal system (Concept) to assign and track tasks through to completion.

  • Subcontractor Liaison: Follow up with subcontractors to obtain reports and confirm task closures.

  • System Use: Confidently operate the Concept system to manage maintenance scheduling and updates.

  • Team Collaboration: Work alongside Shift Managers and Team Leaders to support daily operations and resolve scheduling issues.

  • Administrative Support: Maintain logs, update tracking sheets, and use Excel to support data analysis and reporting.

Required Skills and Experience

  • Experience using Concept or similar task management systems

  • Strong Excel skills, including scheduling, data input, and reporting

  • Previous experience in scheduling or maintenance coordination roles

  • Effective communicator with strong organizational skills

  • Comfortable working in a fast-paced, team-oriented environment

Desirable Qualifications

  • Experience in a hospital or healthcare setting

  • Knowledge of PPM processes in regulated environments
